Principal Accountabilities and Functions

The Marketing Operations Coordinator serves as the operational hub of the Marketing & Communications department, ensuring marketing initiatives move efficiently from request through execution.This position manages department workflow, project intake, resource coordination, production scheduling, vendor coordination, budget administration, and marketing asset distribution while supporting continuous process improvement. The incumbent partners closely with internal stakeholders and external vendors to deliver high-quality marketing initiatives on schedule and in alignment with Tower's strategic goals.The position also supports departmental reporting, operational planning, and adoption of technology and AI-enabled tools that improve marketing efficiency.

Manages the department's marketing operations workflow by administering project management systems, coordinating project intake, prioritization, scheduling and execution, monitoring workload and delivery risks, and maintaining project documentation and digital marketing assets to support operational efficiency, collaboration and accountability.

Develops and maintains operational dashboards measuring project volume, workload distribution, production cycle times, on-time delivery, resource utilization, campaign execution metrics and other departmental performance indicators. Compiles findings into regular reports for the Vice President of Marketing to support data-informed decisions on workflow, staffing and prioritization.

Responsible for communications to Branch Administration, Member Service Center and other internal groups, as well as to external vendors as to the delivery, placement and maintenance of marketing communications in support of monthly marketing plans and overall Marketing Division goals in accordance with Tower’s strategic plan.

Supports administration of the department operating budget by tracking expenditures, preparing variance reports, reconciling invoices, monitoring vendor expenses and identifying budget trends for review by the Vice President.

Serves as Marketing Operations lead for the annual Tower Classic Golf Tournament, negotiates contract with golf club and organizes the day’s scheduling and events. Responsible for coordinating production of all tournament communications materials, day of event signage and follow up letters. Manages outreach team for obtaining sponsorships, donations and player teams. Responsible for collecting payments, controlling budget and maintaining accurate accounting.

Continuously evaluates marketing workflows and recommends improvements that reduce manual effort, improve turnaround time and enhance the internal client experience.

Coordinates marketing support for corporate events, sponsorship activations, branch openings, community outreach initiatives and organizational meetings.

Coordinates production, fulfillment and distribution with vendors to ensure the timely production and delivery of marketing communications materials.

Oversees the inventory, ordering, storage and distribution of marketing materials, promotional merchandise and supplies, ensuring appropriate inventory levels and timely delivery to branches and departments throughout the credit union.

Supports the continuous evolution of the Marketing & Communications department by embracing new technologies, improving operational efficiency, documenting best practices and contributing to a collaborative, service-oriented culture.

Performs other duties and special projects as assigned in support of departmental and organizational objectives.

Required Qualifications

Bachelor’s degree in marketing, Communications, Business Administration or a related field.

Six years of experience in marketing operations, project coordination, agency account management, or a related role; or an equivalent combination of education and commensurate experience.

Knowledge, Skills and Abilities

Proficiency with Microsoft 365 applications (including Teams and SharePoint), Adobe Acrobat and project management software.

Strong project management and organizational skills with the ability to manage multiple concurrent projects, competing priorities and deadlines.

Excellent customer service skills with the ability to build collaborative relationships across departments and effectively manage internal client expectations.

Ability to coordinate and reconcile department budget to include transaction records, and to apply basic budget planning and procedures.

Ability to implement action plans and organize workload to accommodate competing deadlines.

Ability to solve practical problems, collect data, establish facts and draw valid conclusions.

Ability to work closely with designers, copywriters and product planners, yet able to work independently.

Ability to prioritize diverse job assignments to meet deadlines and be prepared for shifts in priorities.

Strong attention to detail and proofing skills.

Strong communication and collaboration skills.

Ability to take direction and receive constructive feedback.

Experience with project management software a plus.

Experience with or demonstrated ability to leverage AI-enabled productivity tools to improve project coordination, documentation, reporting, workflow automation and operational efficiency.

Has knowledge of and adheres to credit union policies and procedures and all regulations related to the Bank Secrecy Act, the USA PATRIOT Act and OFAC.

Working Conditions

Ability to work the hours needed which may extend beyond the defined work schedule when operating conditions dictate.

Ability to lift up to 15 lbs., with or without assistance, in compliance with ADA.

This is an non-exempt, hourly position with a range of $32.69 - $40.86 an hour. Tower offers a comprehensive benefit plan to include medical, prescription drug, dental, vision, a 401K retirement plan with company match, and company-paid life insurance, short-term and long-term disability.
