The position oversees a diverse calendar of signature events, seasonal activations, retailer partnerships, sponsorship programs, community initiatives, entertainment, family experiences, and VIP events. Working closely with internal departments, tenants, vendors, sponsors, and community partners, this role ensures all events are aligned with brand standards, operational requirements, and business objectives.

The ideal candidate is a detail-oriented, creative, and solutions-focused event professional who thrives in a fast-paced environment and can successfully manage multiple projects simultaneously.

  • Develop and manage an annual events calendar that supports traffic, tenant engagement, brand awareness, and guest experience objectives.
  • Plan and execute signature events, seasonal activations, community programs, retailer partnerships, entertainment, and experiential marketing initiatives.
  • Identify new event concepts, sponsorship opportunities, and strategic partnerships that support business goals.
  • Create event plans outlining objectives, audiences, budgets, timelines, staffing, production requirements, and success metrics.
  • Research industry trends, competitive activity, and local market opportunities to maintain innovative programming.

Event Production & Execution

  • Manage all phases of event production, including timelines, floor plans, staffing, vendors, signage, entertainment, permits, and contingency planning.
  • Serve as the on-site lead, ensuring seamless event execution, guest satisfaction, safety, and brand consistency.
  • Coordinate event setup, breakdown, vendor logistics, crowd flow, security, and operational support.
  • Resolve issues in real time while maintaining a professional guest-facing presence.
  • Develop and maintain standardized event processes, templates, and documentation.
  • Source, negotiate, and manage vendors, production partners, entertainment providers, and event suppliers.
  • Ensure compliance with insurance, safety, contractual, and operational requirements.
  • Build relationships with sponsors, nonprofit organizations, community partners, and local businesses.
  • Coordinate sponsorship fulfillment, partner activations, approvals, deliverables, and post-event recaps.
  • Maintain organized vendor records, contracts, invoices, certificates of insurance, and event files.

Tenant & Cross-Functional Collaboration

  • Partner with tenants and retailers on promotional events, product launches, grand openings, and seasonal activations.
  • Collaborate with Marketing, Operations, Security, Guest Services, Leasing, Property Management, and Sponsorship teams to align event execution.
  • Lead planning meetings, communicate timelines, track action items, and ensure accountability across stakeholders.
  • Serve as the primary point of contact for all event-related communications and approvals.

Event Marketing & Guest Experience

  • Partner with Marketing and Creative teams to develop promotional plans, signage, digital assets, social content, photography, and video support.
  • Provide event details and creative direction needed for successful event promotion.
  • Review all event communications and materials for accuracy and brand consistency.
  • Support guest registration, RSVP management, VIP experiences, and attendee communications.
  • Ensure a seamless guest experience from promotion through post-event follow-up.

Budgeting, Contracts & Administration

  • Develop and manage event budgets, forecasts, and expense tracking.
  • Process contracts, purchase orders, invoices, permits, and vendor payments.
  • Maintain organized event documentation, reporting, photos, historical records, and planning resources.
  • Identify cost-saving opportunities while maintaining event quality and guest experience.
  • Measure event performance through attendance, engagement, tenant participation, sponsorship results, budget adherence, and overall impact.
  • Prepare post-event reports including key results, insights, challenges, photos, and recommendations.
  • Collect feedback from stakeholders, guests, vendors, and partners to improve future programming.
  • Maintain event performance records to support planning, budgeting, and vendor selection.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business, or a related field preferred.
  • 3+ years of experience in event management, experiential marketing, retail programming, or large-scale guest-facing events.
  • Demonstrated experience managing the full event lifecycle, including planning, budgeting, production, vendor management, execution, and reporting.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication, relationship-building, and stakeholder management skills.
  • Experience managing budgets, contracts, invoices, permits, and certificates of insurance.
  • Ability to work evenings, weekends, holidays, and extended hours as required by the event calendar.
  • Comfortable working in a fast-paced, customer-facing environment and making decisions under pressure.
