Job summary

vineyard vines is seeking an ambitious Marketing Administrative Assistant to work closely with the Chief Marketing Officer (CMO). You will manage calendars, travel, expenses, and meeting prep, gaining exposure to campaign development, creative reviews, and agency partnerships.

This role is ideal for someone early in their Marketing career who is curious, proactive, and highly organized, with a genuine passion for branding and consumer brands. On-site four days a week at Stamford HQ.

Qualifications

  • 1–3 years of experience in Marketing, Communications, Business, Creative, Advertising, or an Administrative/Executive Assistant role; internships or early career experience within a consumer brand are a plus.
  • A genuine passion for Marketing, branding, storytelling, and consumer businesses.
  • An eagerness to learn and a strong interest in building a long-term career in Marketing.

Responsibilities

  • Serve as a trusted, highly organized partner to the CMO, managing day-to-day administrative needs.
  • Own the CMO’s calendar, travel, expenses, meeting preparation, and briefing materials.
  • Support meetings, agendas, recaps, and follow-up materials for marketing leadership.
  • Coordinate campaign calendars, photoshoots, launches, events, and brand milestones.
  • Build relationships across Marketing and cross-functional teams and keep projects moving forward.

Overview:

This is an incredible opportunity for an ambitious, highly organized Marketing up-and-comer to work closely with and learn directly from the Chief Marketing Officer (CMO) of vineyard vines. This role is ideal for someone who is passionate about Marketing and eager to gain firsthand exposure to the strategy, creativity, decision-making, and day-to-day leadership behind a growing consumer brand.

The Assistant will serve as a trusted partner to the CMO, managing her day-to-day administrative needs while becoming deeply immersed in the Marketing organization. In addition to owning calendar management, travel, expenses, meeting preparation, and other administrative responsibilities, this individual will have the opportunity to observe and participate in the rhythms of a senior Marketing organization—from campaign development and creative reviews to agency partnerships, brand initiatives, events, and leadership meetings.

This is a unique opportunity for someone early in their Marketing career who wants to learn how a CMO thinks, operates, prioritizes, and leads. The successful candidate will be curious, proactive, highly dependable, and excited to roll up their sleeves. They will bring strong organizational skills and attention to detail, along with a genuine passion for Marketing, branding, and the vineyard vines customer.

The role is designed for a motivated individual who sees administrative excellence as a pathway to greater exposure, responsibility, and growth within Marketing.

Key Responsibilities:
Executive & Administrative Support
  • Serve as a trusted, highly organized partner to the CMO, managing her day-to-day administrative needs and helping her operate as effectively as possible.
  • Own the CMO’s calendar, including scheduling, prioritization, meeting coordination, and frequent real-time adjustments.
  • Anticipate the CMO’s needs and proactively identify scheduling conflicts, preparation requirements, and follow-up items.
  • Manage Zoom, telephone, meeting logistics, and other day-to-day coordination on behalf of the CMO.
  • Coordinate complex travel arrangements and itineraries.
  • Prepare a daily next-day calendar overview for the CMO, ensuring meeting locations, dial-ins, agendas, presentations, briefing materials, and other relevant information are organized and easily accessible.
  • Help keep the CMO prepared and on time for meetings, presentations, events, and other commitments.
  • Manage timely submission, reconciliation, and tracking of expenses for the CMO and select members of the Marketing leadership team.
  • Partner with Executive Assistants across the organization to coordinate cross-functional leadership meetings and company priorities.
  • Handle confidential information and sensitive business matters with professionalism and discretion.
Marketing Exposure & Development
  • Develop a firsthand understanding of how a Chief Marketing Officer leads a Marketing organization and manages the many priorities of a consumer brand.
  • Gain exposure to Marketing strategy, campaign development, creative reviews, brand storytelling, agency relationships, partnerships, events, and key business initiatives.
  • Participate in Marketing meetings and leadership discussions, gaining insight into how strategic decisions are made and translated into action.
  • Support the CMO and Marketing leadership team with meeting preparation, agendas, presentations, recaps, and follow-up materials.
  • Partner with Marketing and Creative teams to help coordinate campaign calendars, photoshoots, launches, events, and key brand milestones.
  • Follow up with internal teams, agencies, partners, and vendors to help keep projects and deliverables moving forward.
  • Assist with Marketing presentations, recaps, decks, and other materials, developing an understanding of how Marketing performance and strategy are communicated to leadership.
  • Support Marketing department meetings, events, brand activations, and special projects as opportunities arise.
  • Take on additional Marketing projects and responsibilities over time based on interests, strengths, and demonstrated capabilities.
  • Build relationships across the Marketing organization and gain broad exposure to the functions and disciplines that make up a high-performing consumer Marketing team.
Team & Department Support
  • Help coordinate Marketing team meetings, off-sites, events, and other department activities.
  • Prepare conference rooms and meeting environments for executive reviews, creative presentations, and high-profile Marketing meetings.
  • Maintain organized digital files, shared Marketing drives, calendars, and planning documentation.
  • Assist with Marketing department onboarding and Performance Review processes.
  • Support special projects and initiatives for the CMO and broader Marketing team as needed.
What You Bring:

  • Strong judgment and discretion when handling confidential and sensitive information.
  • A positive, collaborative, team-oriented attitude and willingness to roll up your sleeves and help wherever needed.
  • Strong proficiency in Google Workspace, including Gmail, Google Calendar, Docs, Sheets, and Slides, as well as Microsoft Office Suite.
  • Strong PowerPoint and presentation-formatting skills with an eye for polished, visually compelling materials.
  • Familiarity with marketing calendars, creative processes, social media, campaigns, events, or agency environments is a plus.
  • On-site requirement: Minimum of four days per week at the vineyard vines corporate headquarters in Stamford, CT.
  • Bachelor’s Degree in Marketing, Communications, Business, or a related field preferred.
