We’re now hiring a Marketing & Operations Coordinator — someone who thrives in a fast-paced, team-oriented environment and is passionate about supporting a growing business from behind the scenes. We’re a small, agile team — which means we’re scrappy, collaborative, and flexible. Roles often shift and evolve as we grow, so we’re looking for someone who’s excited to jump in wherever needed, not someone looking to stay strictly in one lane.

This full-time position is designed to support our 5–6 person team by combining aspects of roles of Marketing Manager, Transaction Coordinator, Listing Coordinator, and Executive Assistant into one impactful, organized, and dynamic role.

You are confident in managing both marketing and operational tasks, have strong attention to detail, and thrive when supporting a high-performing team.

What You’ll Be DoingMarketing & Listing Support
  • Create brochures, flyers, and graphics for listings using Canva, RE/MAX Design Center, etc.
  • Upload and manage listing content on platforms like MLS, Crexi, CoStar, LoopNet, and CommercialPeoria.com
  • Draft and schedule social media content for Facebook, Instagram, LinkedIn, YouTube, and Google
  • Create and execute listing launch checklists for both commercial and residential properties
  • Track listing expirations weekly and prepare extension documentation as needed
  • Assist in creating content for team branding and promotions across social media (agents need to be creating content - this role should plan/edit/post) - Edit marketing videos for social and web platforms
Transaction & Listing Coordination
  • Execute checklists for new contracts, letters of intent (commercial offers), and offers (contracts) in our transaction management system
  • Assist agents in verifying data on listings (TIF districts, zoning info, and listing records)
  • Send and track earnest money requests via online tools (e.g. DepositLink)
  • Schedule inspections, closings, and key deadlines
  • Maintain accurate transaction files in Google Drive and TM software
  • Route inbound leads to the appropriate team member
  • Assist in outgoing and incoming client referral form paperwork
  • Manage lockboxes, keys, signs, and listing logistics
  • Prepare marketing materials for open houses and property presentations
Client Care & Concierge Coordination
  • Maintain and update our CRM system (KVCore/BoldTrail) with accurate client data
  • Create and manage drip campaigns for clients, leads, and past clients
  • Plan and help coordinate client appreciation events and touchpoints
  • Send birthday, home anniversary, and holiday cards
  • Request and collect Google reviews after closing
  • Help facilitate client communications and help ensure everyone receives top-tier service
Executive & Admin Support
  • Manage calendars for the team lead (meetings, reminders, blocks)
  • Respond to voicemails, emails, and inquiries on behalf of the team
  • Keep the office clean and organized for client and agent use
  • Prepare documents, invoices, and simple reports
  • Attend and contribute to team meetings
  • Handle light bookkeeping (expense tracking, spreadsheet entry)
  • Order and restock office supplies
Systems & Process Development
  • Improve team workflows and help document standard operating procedures for repeatable success
  • Track and update commercial listings spreadsheets
  • Assist with implementing new tools or technologies as needed
  • Stay on top of listing compliance and internal document tracking
What You Need to SucceedRequired Skills & Experience
  • Excellent organizational skills and attention to detail
  • Experience in administrative, marketing, or operations roles
  • Familiarity with Google Workspace (Drive, Calendar, Gmail, Sheets)
  • Comfort using Canva, social media tools (Facebook, Instagram, LinkedIn, and Google My Business), and project/task managers
  • Ability to prioritize tasks and adapt quickly to shifting needs
  • Creative and solution-focused mindset
  • Background in marketing or communications

  • Location : Peoria, IL (Primarily in-person with some flexibility)
  • Schedule : Full-time (Monday–Friday)
  • Compensation : Based on experience; hourly or salary with room to grow
