Description of Primary Duties

Are you a creative, detail-oriented student who loves bringing events to life and connecting with people through programming and communications? University Libraries is looking for an enthusiastic and self-motivated Marketing and Communications Student Assistant to join our team! If you’re passionate about planning exciting events, promoting library programs, and engaging with the campus community, this is the perfect opportunity to develop your skills and make a real impact on campus. Here’s what you can expect from this dynamic role:


Event Planning:

  • Concept Development: Assist in brainstorming, planning, and organizing engaging events that align with the library’s goals and mission.
  • Coordination: Work with internal teams and external partners to ensure all logistics are covered, including venue setup, staffing, and necessary resources.
  • Timeline Management: Ensure events are planned and executed within set timeframes, keeping all tasks on track.
Promotion of Events:
  • University Calendar Posting: Post upcoming library events on the university calendar, ensuring visibility across campus platforms.
  • LibNotes Articles: Write compelling and informative articles for LibNotes, the library’s weekly newsletter to highlight key events and initiatives.
  • Blog Posts: Contribute blog posts that provide deeper insight into library events, programs, and behind-the-scenes details.
  • Flyers & Promotional Materials: Collaboratively design and distribute eye-catching flyers and other materials for campus events, ensuring they align with the library’s branding.
  • Tabling: Assist with tabling at library events and on campus to promote upcoming activities and engage with the student body.
  • Email Campaigns: Create and send targeted email campaigns to promote events and encourage attendance.
Event Management Tools:
  • Little Green Light Updates: Ensure accurate and timely updates on Little Green Light (or relevant customer relation), keeping event details up-to-date and accessible for team members.
  • Teams File Management: Organize and update event-related files on Teams, ensuring that all event materials are accessible for the team.
Internal & External Communications:
  • Team Coordination: Facilitate internal communication to ensure all team members are informed of event details, responsibilities, and deadlines.
  • Partner Collaboration: Communicate with external partners and organizations to coordinate event promotions, sponsorships, and collaborative efforts.
Social Media Support:
  • Content Planning & Filming: Support social media planning and contribute to the filming of content for event promotions, highlighting library activities and event announcements.
  • Engagement: Assist in promoting events through social media platforms, responding to inquiries, and ensuring engagement before, during, and after events.
Event Analytics & Reporting:
  • Event Statistics Management: Track attendance, engagement, and other event metrics, compiling reports to evaluate success and identify areas for improvement.
  • Data Analysis: Use data insights to provide feedback on promotional strategies and suggest adjustments for future events.
  • Ramp Décor: Assist with the design and setup of décor for library spaces, ensuring an aesthetically pleasing atmosphere that aligns with event themes.
Required Qualifications

Candidates will begin work in Summer 2025.
