Manufacturing Systems Specialist
Position Summary
The Manufacturing & Quoting Specialist is responsible for the integrity of manufacturing and quoting information within the ERP system. This position serves as the primary owner of manufacturing master data, creating, maintaining, and managing Bills of Materials (BOMs), routings, manufacturing jobs, quotes, and engineering revisions to ensure information is accurate, complete, and production ready within the system.
Technical, engineering, quality, design, manufacturability, and configuration approval decisions remain the responsibility of the appropriate subject matter experts. The Manufacturing & Quoting Specialist serves as a secondary reviewer, providing an additional level of oversight to identify potential issues, verify the accuracy and completeness of manufacturing data, and ensure all required approvals and requirements have been addressed before implementation.
Serving as the technical link between Sales, Project Management, Engineering, Purchasing, Buyers, Suppliers, and Production, this role translates customer requirements, drawings, specifications, and Requests for Proposal (RFPs) into accurate quotes and manufacturable jobs. The Manufacturing & Quoting Specialist ensures manufacturing information remains aligned throughout the product lifecycle while proactively identifying and resolving issues that could impact quality, cost, purchasing, scheduling, or production.
The ideal candidate is analytical, detail-oriented, process-driven, and highly proficient with ERP systems. This individual must be able to interpret engineering drawings, understand manufacturing processes, anticipate the downstream impact of changes, solve complex problems, and effectively manage multiple priorities in a fast-paced environment. Success in this role requires sound judgment, natural curiosity, exceptional organizational skills, and the confidence to question information that does not appear accurate rather than making assumptions.
Key Responsibilities
Manufacturing & ERP Management
- Create, maintain, and validate Bills of Materials (BOMs), routings, manufacturing jobs, and related manufacturing information within the ERP system.
- Create, release, maintain, and monitor manufacturing jobs, ensuring manufacturing information remains accurate throughout the job lifecycle.
- Support Engineering Change Orders (ECOs) and customer revisions by updating BOMs, routings, manufacturing jobs, quotes, and related ERP information.
- Maintain the integrity of manufacturing information through accurate setup, revisions, audits, and ongoing system maintenance.
Quoting & Proposal Support
- Build, maintain, and revise customer quotes within the ERP system, ensuring pricing, materials, specifications, operations, and supporting information are complete and accurate.
- Partner with Sales and Project Managers to develop accurate, manufacturable quotes that align with customer requirements and manufacturing capabilities.
- Retrieve, organize, and manage Requests for Proposal (RFPs) and supporting documentation from customer portals, ensuring specifications, drawings, pricing requests, due dates, and other requirements are complete and communicated to the appropriate team members.
- Coordinate supplier quotations and maintain supporting pricing documentation required for accurate customer quotations.
Manufacturing Change Management
- Effectively manage multiple BOMs, engineering revisions, quote revisions, and customer changes while maintaining accuracy and version control.
- Review manufacturing jobs and related documentation to ensure approved revisions are consistently reflected throughout the ERP system.
- Evaluate the impact of BOM revisions on purchasing requirements and work closely with Buyers to update purchase orders when material changes affect items, quantities, specifications, or suppliers.
- Identify discrepancies, missing information, or potential manufacturing issues before quotes or jobs are released and work with the appropriate teams to resolve them.
Cross-Functional Collaboration & Continuous Improvement
- Collaborate with Sales, Project Management, Engineering, Purchasing, Buyers, Production, Customer Service, and Suppliers to support successful quoting and manufacturing execution.
- Evaluate existing processes and recommend improvements that increase efficiency, standardization, accuracy, and operational effectiveness.
- Serve as the branch subject matter expert for BOM integrity, routing accuracy, quote development, manufacturing job setup, engineering revisions, and ERP manufacturing processes.
Required Qualifications & Competencies
- Exceptional attention to detail with the ability to identify inconsistencies, question information that appears inaccurate, and resolve discrepancies before they impact quoting or manufacturing.
- Strong ability to read and interpret engineering drawings, specifications, customer documentation, and RFP requirements.
- Thorough understanding of manufacturing processes, including material flow, routing sequences, production operations, and the proper sequence of manufacturing activities.
- Demonstrated experience creating and maintaining Bills of Materials (BOMs), routings, manufacturing jobs, quotes, and ERP master information.
- Strong understanding of how engineering and BOM changes affect quoting, purchasing, manufacturing, and overall project execution.
- Highly proficient with ERP systems, customer portals, spreadsheets, and manufacturing software, with the ability to quickly learn and leverage new technology.
- Strong analytical and problem-solving skills with the ability to research issues, identify root causes, evaluate options, and implement practical solutions.
- Demonstrates strong systems thinking by understanding how changes in one area affect downstream manufacturing, purchasing, quoting, and production activities.
- Thrives in a fast-paced environment with the ability to manage frequent engineering revisions, customer changes, multiple RFPs, competing priorities, and tight deadlines while maintaining a high level of accuracy.
- Excellent organizational and time-management skills with the ability to manage large volumes of technical information while maintaining clear documentation.
- Effective communicator who builds strong working relationships across Sales, Project Management, Engineering, Purchasing, Buyers, Production, Customer Service, and Suppliers.
- Self-motivated with a continuous improvement mindset and a commitment to operational excellence, manufacturing accuracy, and ERP system integrity.
- Experience working within an AS9100-certified manufacturing environment a plus
- Experience supporting aerospace, defense, military, or government manufacturing programs a plus
- Experience with engineering change management and configuration control.
- Experience with knowledge of tools is a plus.
