Job description

Poston Communications is seeking a Managing Director of AI to further advance the practical and responsible integration of artificial intelligence across our growing national agency.

This is a leadership role for a communications professional who combines strong public relations, content and client service experience with hands‑on AI fluency. The ideal candidate understands how agency teams work, can translate emerging technology into repeatable processes and brings the judgment required for crisis, litigation and other sensitive client matters.

The Managing Director of AI will oversee PostonAI and the agency’s broader AI roadmap, working closely with the CEO, Leadership Team, account teams and external technology partners to prioritize initiatives, manage implementation and drive adoption. This role requires someone who can move between strategy and execution – from configuring tools around operational needs and building workflows to testing outputs, training colleagues and maintaining clear standards for accuracy, confidentiality, data protection and human review.

Poston Communications is a fully remote agency with team members located across the United States.

Key Responsibilities
  • Develop and execute the agency’s AI strategy and roadmap, identifying where AI can responsibly improve client work, service delivery and internal operations.
  • Lead the development and continued evolution of the agency’s AI‑enabled offerings and products, building on the foundation of the Poston Formbook, the agency’s process‑oriented approach and PostonAI.
  • Serve as the day‑to‑day owner of PostonAI, translating priorities from the CEO and Leadership Team into project plans, timelines, responsibilities and measurable outcomes.
  • Lead the development, organization and continuous improvement of the agency’s proprietary AI agents, workflows, skills, prompts, templates and related intellectual property, ensuring these resources are documented, maintained, protected and positioned for scalable use.
  • Develop and maintain productive relationships with the agency’s AI consulting team, technology providers and other external partners to advance agency priorities and deliver greater value to clients.
  • Evaluate and pilot AI platforms and vendors, coordinating with external technology partners on enhancements, integrations and implementation priorities.
  • Track adoption, efficiency, quality and business impact, regularly reporting progress and recommendations to agency leadership while translating emerging AI capabilities and risks into practical guidance for the agency and its clients.

Business Development & AI Solutions Growth

  • Drive the positioning and sale of PostonAI and the agency’s broader AI capabilities in new business pitches, prospect conversations and existing‑client growth discussions, serving as a subject matter resource who can clearly articulate their value.
  • Partner with agency leadership and account teams to identify, qualify and advance opportunities for PostonAI implementations and other AI‑enabled services.
  • Translate prospective client needs into tailored recommendations, demonstrations, scopes of work and implementation plans.
  • Partner with agency leadership to develop, package, scope and price PostonAI engagements and new AI‑enabled offerings, including allocating implementation resources, managing related vendor costs and monitoring client satisfaction, engagement performance and profitability.
  • Develop proposal language, pitch materials, case studies, demonstrations and other sales resources, and identify market opportunities that can inform new AI products, services and revenue streams.

Workflow Development & Implementation

  • Work directly with account and operations teams to map existing processes and identify high‑value opportunities for AI‑assisted workflow improvement.
  • Lead PostonAI client implementations from discovery and account setup through asset integration, workflow launches, training, adoption, optimization, performance reporting and long‑term support.
  • Collaborate across client teams to build and maintain client‑specific AI environments grounded in approved brand and style guidance, differentiators, experience, matters and other source materials.
  • Configure, test and refine repeatable prompts, templates, custom assistants, agents and automations using approved no‑code or low‑code tools, and build scalable workflows for research, drafting, media list development, monitoring, reporting, knowledge management and business development support.
  • Document and troubleshoot tools and processes so successful solutions can be adopted consistently across teams and maintained over time.

Client Advisory & Agency Growth

  • Serve as the agency’s AI representative on client account teams, helping align AI initiatives with each client’s communications, marketing and business objectives and ensuring PostonAI solutions continue to reflect client priorities, restrictions and evolving needs.
  • Advise account teams and clients on how AI can responsibly support communications strategy, media relations, content development, message testing, media monitoring and crisis preparedness, including opportunities to promote clients’ innovation initiatives, technology investments and AI‑related capabilities.
  • Support the development and quality review of AI‑informed client deliverables, ensuring all work meets Poston’s editorial, strategic and reputational standards before delivery.
  • Help clients anticipate and respond to AI‑related issues, including deepfakes, misinformation, unauthorized AI use and other emerging crisis scenarios.

Training, Adoption & Change Management

  • Serve as an active member of the agency’s technology team, contributing to the broader technology stack and integrating PostonAI and approved AI tools with the agency’s marketing technology, communications, workflow and knowledge‑management solutions.
  • Partner with agency leadership, operations teams and technology providers to improve interoperability, reduce duplicative processes and strengthen the effectiveness of the agency’s technology investments.
  • Train account teams on practical, day‑to‑day use of approved AI tools and workflows to improve efficiency in research, drafting, media list development, reporting and other core responsibilities.
  • Create internal resources, templates and best‑practice guides for AI‑assisted work across departments; provide hands‑on coaching and troubleshooting; and build engagement and accountability around adoption while reinforcing that human judgment, editorial oversight and client context remain central to every deliverable.

Governance & Quality Assurance

  • Develop and maintain the agency’s AI usage policy and governance framework, including guardrails related to confidentiality, accuracy, disclosure, intellectual property and client data protection.
  • Oversee user access, permissions, data‑handling requirements and platform‑level governance in coordination with PostonAI technology and security partners.
  • Establish clear protocols for fact checking, source verification, human review and approval of AI‑assisted work.
  • Monitor client‑specific restrictions and legal, regulatory and industry developments related to AI use in communications and highly regulated industries, proactively briefing account teams and leadership on material risks or required changes.
What We’re Looking For

Required

  • At least six (6) to eight (8) years of experience in public relations, strategic communications, content, marketing or a related agency or in‑house role.
  • At least two (2) to three (3) years of experience managing a technology‑enabled service, client implementation program, SaaS platform or comparable cross‑functional initiative involving client onboarding, training, adoption, support and ongoing optimization.
  • Strong grounding in media relations, content strategy, client service and the day‑to‑day realities of communications work.
  • Demonstrated hands‑on experience applying generative AI and related tools in a professional communications environment.
  • Experience leading cross‑functional projects, managing timelines and driving implementation from concept through adoption.
  • Ability to translate technical concepts into clear, practical guidance, supported by excellent written, verbal and presentation skills.
  • Strong judgment regarding reputational risk, confidentiality, accuracy and appropriate use of AI in sensitive or regulated engagements.
  • Comfort operating at both strategic and executional levels, including directly configuring tools, testing workflows and training teams.
  • Demonstrated emotional intelligence, collaborative leadership, adaptability and commitment to exceptional client service and continuous learning.
  • Bachelor’s degree in communications, journalism, public relations, marketing or a related field preferred.

Nice to Have

  • Experience working in a public relations agency, law firm, professional services organization or other highly regulated industry.
  • Experience with no‑code or low‑code automation platforms, custom AI assistants, agents, APIs or workflow integrations; software engineering experience is not required.
  • Experience developing AI governance policies, data‑handling standards or responsible‑use frameworks, particularly for sensitive or high‑stakes engagements.
  • Experience managing technology vendors, platform roadmaps or internal change‑management initiatives.
