Manager, US Facilities Operations & Space Management

Job Summary

The Manager, US Facilities Operations & Space Management serves as the primary leader for facilities operations, infrastructure services, workplace planning, space utilization, project management, vendor management, workplace support services, and facilities-related strategic initiatives across supported U.S. locations. The role combines formal leadership of the entire Infrastructure team with substantial hands‑on technical and design contribution, serving as the accountable owner for safe, reliable, compliant, cost-effective, and employee-focused workplaces. This position develops and maintains space, office, production, distribution, and land‑use concepts; leads renovations, expansions, consolidations, conversions, relocations, and workplace transformation initiatives; coordinates vendors, contractors, architects, and engineers; supports building systems and operational continuity; and translates business growth requirements into practical facility and workplace solutions. The manager personally develops or reviews AutoCAD and Building Information Modeling (BIM) layouts, models, test fits, and visualizations when needed and directs internal or external design resources when broader project demand or strategy requires. Based on organizational need and the selected candidate’s background, formal responsibility may expand to include the Maintenance Department.

This position includes formal people management responsibilities. These responsibilities include direct supervision of employees, performance management, talent development, resource allocation, employee engagement, and career development. People leaders are accountable for team performance, employee engagement, and career development. This role is intentionally structured as a working manager position that balances leadership, operational oversight, and strategic planning with direct facilities, space‑planning, technical, and design contribution.

Responsibilities

  • Lead and coordinate daily facilities and infrastructure operations across supported U.S. locations, maintaining safe, reliable, compliant, cost-effective, and customer-focused workplace environments.
  • Direct the entire Infrastructure team and establish clear priorities, accountabilities, service standards, schedules, and resource plans; assume leadership of Maintenance Department personnel if organizationally assigned based on business needs and the selected candidate’s background.
  • Maintain operational oversight of HVAC, electrical infrastructure, utilities, building automation, security and access control, fire and life‑safety systems, grounds, workplace services, emergency response, preventive maintenance, and facility service requests.
  • Monitor work‑order performance, preventive‑maintenance completion, service quality, asset reliability, downtime, customer concerns, energy usage, and other facilities KPIs; implement corrective actions and improvements.
  • Serve as a hands‑on technical and design contributor by developing, updating, or reviewing floor plans, test fits, space layouts, equipment arrangements, and three‑dimensional visualizations using AutoCAD, BIM, and related tools.
  • Determine and maintain space requirements and occupancy data; create office, production, laboratory, distribution, storage, and land‑use concepts that support business growth, operational flow, safety, accessibility, hybrid‑work considerations, and employee experience.
  • Lead occupancy planning, space‑utilization analysis, workplace planning, furnishing, desk‑sharing, moves, additions, and changes, including personnel, furniture, equipment, production, and distribution relocations.
  • Prepare or coordinate project plans, scopes of work, design criteria, specifications, functional requirements, cost estimates, schedules, budgets, resource requirements, and technical documentation for renovations, expansions, consolidations, conversions, relocations, and construction projects.
  • Manage facilities projects and workplace transformation initiatives from concept through closeout, including feasibility, design coordination, permitting, procurement, risk management, contractor oversight, installation, commissioning, punch‑list resolution, and turnover.
  • Select, engage, and manage architects, engineers, contractors, suppliers, furniture providers, and other service partners; monitor safety, quality, schedule, cost, performance, deliverables, and contractual compliance.
  • Maintain accurate digital facilities records, including BIM models, CAD drawings, as‑built documents, equipment and asset records, operations and maintenance manuals, construction files, warranties, and space data.
  • Use facilities, space, financial, vendor, energy, and asset‑lifecycle data to develop dashboards, KPIs, analyses, and recommendations that support informed decision‑making and continuous improvement.
  • Partner with Operations, Production, Distribution, EHS, Security, Information Technology, People & Organization, Finance, Purchasing, Real Estate, and business leaders to align facility solutions with operational and workforce needs.
  • Support capital planning, annual operating plans, forecasting, spend analysis, purchase requests, invoice review, and fixed‑asset coordination; identify risks, alternatives, and recommendations for leadership review.
  • Exercise delegated approval authority for operating expenses, capital expenditures, unbudgeted capital expenditures, and purchasing‑card transactions in accordance with established financial controls, policies, and authorization limits.
  • Ensure compliance with applicable OSHA, environmental, fire and life‑safety, accessibility, building‑code, permitting, and company requirements, and support inspections, audits, documentation, and corrective actions.
  • Develop and maintain facilities standards, multi‑site governance, procedures, emergency plans, service expectations, and scalable operating practices aligned with U.S. and global direction.
  • Identify and implement opportunities to improve space utilization, facility reliability, energy efficiency, sustainability, process effectiveness, cost performance, risk control, employee experience, and service delivery.
  • Lead cross‑functional change associated with workplace transformations, facility consolidations, office relocations, site expansions, and operational improvement initiatives.
  • Lead, coach, and develop employees through clear expectations, ongoing feedback, performance management, development planning, succession considerations, engagement, and knowledge sharing.
  • Allocate work and resources across operational needs, planning activities, projects, and urgent events while maintaining appropriate coverage and business continuity.
  • Communicate plans, milestones, budget performance, trade‑offs, risks, progress, and recommendations clearly to technical and non‑technical stakeholders and facilitate productive decision‑making across functions and locations.

Qualifications

  • Bachelor’s degree in Facilities Management, Engineering, Mechanical Engineering, Construction Management, Operations Management, Industrial Engineering, Architecture, Business Administration, or a related technical or business discipline, or an equivalent combination of education and relevant experience.
  • Typically requires 10 or more years of progressive experience in facilities operations, workplace services, real estate, space planning, engineering, construction, or operations, including at least 5 years of formal people leadership experience.
  • Multi‑site facilities management experience within a complex commercial, manufacturing, engineering, laboratory, distribution, or automated warehouse environment.
  • Demonstrated experience supporting manufacturing and distribution operations and the associated production, logistics, utility, asset, and infrastructure requirements.
  • Demonstrated experience with strategic space programming, occupancy planning, utilization analysis, test fits, hybrid workplace design, site expansion or consolidation planning, office and production layouts, moves, additions and changes, renovation planning, relocations, and workplace‑design solutions.
  • Working proficiency with AutoCAD and experience using BIM authoring, coordination, or model‑review tools to create, modify, interpret, and manage facility drawings, space plans, and three‑dimensional models.
  • Working knowledge of HVAC, electrical infrastructure, building automation, security and access control, fire and life‑safety, utilities, maintenance systems, and facility infrastructure.
  • Experience leading facility renovations, expansions, consolidations, workplace transformations, construction, conversions, or relocations through planning, design, permitting, execution, commissioning, and closeout.
  • Experience developing and managing project plans, schedules, budgets, resources, risks, milestones, contractors, architects, engineers, and cross‑functional deliverables.
  • Experience managing operating and capital budgets, forecasts, purchase approvals, contracts, vendors, financial controls, and senior‑leadership reporting.
  • Experience developing or using facilities KPIs, space‑utilization metrics, budget and cost analytics, vendor‑performance measures, energy reporting, and asset‑lifecycle analysis to support decisions.
  • Knowledge of applicable workplace safety, environmental, accessibility, building‑code, permitting, and regulatory requirements.
  • Demonstrated people leadership capability, including setting expectations, delegating work, coaching, developing talent, managing performance, supporting succession, and building an accountable and inclusive team.

  • Advanced degree in Business Administration, Engineering Management, Organizational Leadership, Facilities Management, or a related discipline.
  • Professional credential such as Certified Facility Manager (CFM), Facility Management Professional (FMP), Project Management Professional (PMP), Sustainability Facility Professional (SFP), Certified Energy Manager (CEM), OSHA 30, Certified Maintenance & Reliability Professional (CMRP), WELL Accredited Professional, LEED Accredited Professional, or a comparable credential.
  • Experience with Autodesk Revit or comparable BIM authoring software, AutoCAD, Navisworks or model‑review tools, and Integrated Workplace Management or facility‑management platforms.
  • Experience supporting electronics, electromechanical, industrial automation, manufacturing, distribution, logistics automation, or other technically complex operations.
  • Experience with smart‑building technologies, building automation systems, computerized maintenance management systems, energy‑management platforms, security and access‑control systems, and facility‑performance analytics.
  • Experience with workplace strategy, hybrid‑work environments, change management, furniture standards, move management, real estate planning, occupancy analytics, site expansion, or facility consolidation.
  • Knowledge of construction document control, digital‑twin practices, scan‑to‑BIM, as‑built validation, and lifecycle facility information management.
