Job description

Manager, Sponsored Projects (Post-Award)

The Manager, Sponsored Projects (Post-Award) is responsible for the Institute's post‑award grant administration with limited supervision. The position requires extensive interaction with faculty, medical program managers, program administrative managers, and the Finance department.

Responsibilities
  • Primarily responsible for the Institute's sponsored projects and acts as primary liaison with program area administrators and Principal Investigators on all aspects of their grants, including post‑award issues, with limited supervision and management involvement.
  • Works with the Finance Office to oversee post‑award financial grants management, including communication with external sponsors regarding budget reallocations and reporting; reviews and processes all consortium/contractual agreements and provides Finance with the original executed agreement; reviews labor distribution and effort commitments.
  • Facilitates, in conjunction with the PI, the submission of Just‑in‑Time information, re‑budgeting, and the interim and final (closeout) report required for the award.
  • Works with Research Contracts to process collaboration‑type agreements with moderate supervision, including Master Services Agreements, Consulting Agreements, and Confidentiality Agreements.
  • Prepares, reviews, files, and enters grants and subcontracts into the Fibi proposal routing and tracking system and follows up on the status of grant applications, foundation proposals, and collaborative agreements.
  • Provides grant management for awarded projects, including progress report preparation/submission, subcontract monitoring/execution, sponsor approvals, and closeout documentation.
  • Oversees the preparation of the fiscal year budget for specified program(s); develops and monitors systems for specific purpose funds for appropriate expenses and revenues in conjunction with the offices of Finance and Philanthropy; sets up new accounts and oversees the management of existing accounts and expense reconciliation.
  • Maintains current knowledge of Institute, federal, state, and agency policies and guidelines for Sponsored Projects administration.
  • Supports the Director, Sponsored Research Programs in developing, maintaining, and updating all related standard operating procedures.
  • Completes project‑based keyword‑driven searches in the PIVOT (or other system) for applicable funding opportunities.
Education

Bachelor’s degree in business or accounting is required.

  • Minimum two years of related experience is required.

  • Experience with grant preparation and post‑award administration is required.
  • Experience with clinical trials is required.
