The Portfolio Manager (PfM) manages sub-portfolios and their corresponding ITEC subcommittees for governance and execution of all programs and projects across Keck Medicine of USC to promote operational excellence and business growth. The position is responsible for supervising, coaching, and mentoring project resources (employees and contingent workers) assigned to their portfolio. Portfolio Managers oversee the health of their sub-portfolio, providing expertise and leadership to ensure all projects remain on scope, on budget, and on schedule. They serve as advisors and escalation points to program managers, project managers, senior project managers, and project coordinators within their sub-portfolio.

The PfM ensures component projects and programs are delivered within scope, deadlines, budget, and quality standards set by leadership. Responsibilities include reporting on progress, health, risks, and remediation plans directly to the PMO Director. The role involves developing project charters, building work breakdown structures and schedules, creating organization charts and role descriptions, managing meetings, communicating project status, enforcing quality standards, and managing risks, issues, decisions, and changes. Strong project financial management skills, staff management experience, attention to detail, and proper documentation practices are essential.

Essential Duties:

  • Manage projects to ensure they are defined, managed, and communicated effectively, meeting scope, time, budget, and quality standards.
  • Adhere to PMO processes and methodologies.
  • Maintain up-to-date project documentation and reports in the departmental repository (SharePoint).
  • Serve as the primary liaison for assigned projects and foster positive relationships with team members and stakeholders.
  • Assist in recruiting, onboarding, offboarding, and performance reviews of project staff.
  • Support training plans aligned with business needs and individual development.
  • Manage the health of the sub-portfolio, including inventory, meeting facilitation, and resolution of governance risks and issues.
  • Escalate unresolved matters to ITEC and contribute to documentation and communication.
  • Contribute to the maturity of the PMO by identifying improvement areas and leading implementation.
  • Participate in internal meetings and recruitment activities.
  • Perform other duties as assigned.

Required Qualifications:

  • Bachelor's degree in Information Systems, Information Technology, or a related field.
  • Master's degree in the same fields is preferred.
  • Over 10 years of relevant professional experience.
  • At least 6 years of project management experience leading IT projects.
  • Minimum of 5 years coaching and mentoring staff.
  • At least 2 years implementing healthcare technology solutions.
  • Mastery of project management tools, techniques, and methodologies.
  • Ability to facilitate large, cross-functional working sessions.
  • Proficiency in MS Office Suite, including Project, Visio, Excel, Word, PowerPoint.
  • Exceptional communication skills across all organizational levels.
  • Creative, confident, and adaptable personality.
