Job description

The Manager - Access primarily manages the scheduling function of the team by implementing standard systems and processes to improve patient and referring physician access, as well as clinician satisfaction with scheduling activities across the Health System. The Manager - Access ensures the scheduling team and unit meet or exceed performance standards focused on patient and referring physician access, correct provider, and capture of pre-appointment medical records, referrals, patient demographics, insurance, and other relevant financial information.

Responsibilities
  1. Oversee the performance of the scheduling team and departments/service locations, ensuring they meet or exceed performance standards.
  2. Collaborate to develop appointment tracking mechanisms and workflows to follow critical tasks such as appointments, referrals, records, insurance, and pre-authorizations.
  3. Serve as a point of contact for communication and accountability for the design and implementation of Access for the respective team.
  4. Implement and maintain Health System Access standards regarding provider appointment templates, scheduling algorithms, and medical record requests.
  5. Provide input on overall Health System patient access standards.
  6. Continuously review current practices and implement best practices.
  7. Establish and onboard an Access support team.
  8. Utilize feedback loops and coordinate with the Access and Epic teams, particularly Cadence.
  9. Contribute to the design and implementation of the Access operating model and scheduling process designs.
  10. Build and maintain relationships with executive leaders and care providers to gain buy-in and organizational alignment.
  11. Support Epic system design and build teams to coordinate process redesign and implementation.
  12. Lead regular team meetings with administrative and physician leaders to review risks, issues, and progress.
  13. Coordinate with Clinic Managers and providers to understand clinical operations and meet patient, clinic, and Access needs.
  14. Oversee scheduling performance and hold the team accountable for standards management.
  15. Assist in removing barriers to help achieve milestones.
  16. Implement work products developed by Access design and implementation teams.
  17. Support the annual budget for patient-friendly access and participate in budget processes.
  18. Build consensus among team members and clinical/operational leaders to gain buy-in on critical decisions, in consultation with Revenue Cycle leadership.
  19. Perform other duties as assigned.

Position Compensation Range: $76,398.40 - $122,241.60 annually.

Minimum Requirements
  • Education: Bachelor's Degree required or obtained within 3 years of hire; Master's Degree preferred.
  • Experience: 3 years of medical background in outpatient/ambulatory settings.
  • Licensure: None required; Licensed Registered Nurse in Virginia preferred.
Physical Demands

This is primarily sedentary involving extensive desktop computer use. Occasional travel to attend meetings and programs may be required.
