Purpose Of The Position

The Manager of Foundations Accounts will be responsible for accurate accounting and reporting of Foundation funds and ensures effective and efficient operation of day-to-day unit operations. The Manager will assist the Director of Accounting and Financial Reporting, as well as performing accounting for the UAH Foundation which includes the preparation of the Foundation's financial statements which entails working with external auditors.

  • The funding allocation associated with this position is reviewed and approved annually by the UAH Foundation Board of Directors.”
Duties/Responsibilities
  • Responsible for accurate accounting and reporting of Foundation funds, and work closely with the Director, Accounting and Financial Reporting in the management, processing and reporting of financial information. Ensures effective and efficient operation of day-to-day unit operations
  • Ensure the accuracy of the accounting and reporting of related financial transactions at the donor accounts level
  • Supervise all aspects of accounting for the Foundation accounts which include bank reconciliations and check disbursements.
  • Research, gather information, analyzed financial data, and prepare general ledger entries and reconciliations
  • Liaise and serve as a primary point of contact to the Foundation Board of Directors. Prepare and manage the annual UAH Foundation operating budget, which is submitted to the Foundation Board of Directors annually for approval, which consists of Endowment Funds, Other Restricted Funds and Unrestricted funds and monitor the budgets throughout the year.
  • Manage and monitor all Foundation asset, liability, net asset, revenue, and expenditure and transfer accounts to ensure propriety and accuracy of recording and initiate corrective action internally or direct University Advancement staff as needed.
  • Supervise, train, support, develop and manage the performance of staff
  • Ensure that functions and responsibilities of the team are performed timely and reviewed for accuracy.
  • Performs accurate accounting and reporting of Foundation funds (receipts, disbursements, and budgets) including endowed, restricted and unrestricted, and operating funds. Maintain accuracy of accounting system and software.
  • Reviews and approves requests for payments (invoices and check requests)
  • Provides consultation, guidance and recommendations regarding donor account transactions, requirements, policies, procedures and guidelines to donors, campus partners and business units.
  • Work closely, partner and collaborate with University Advancement administrators and staff as well as others on campus with Foundation accounts on accounting, reporting and budgeting systems.
  • Maintains communications with prospects, donors, fund representatives, college administrators and funders (state, local and private).
  • Serve as Liaison and work closely with external auditors for all audit activities and responsible for minimizing required audit time, reportable conditions and audit findings.
  • Work closely with and assist with annual financial closing and subsequent audit and tax filing by preparing supporting tax schedules for Campus auditors.
  • Work closely with external tax preparers, prepare and generate various reports and information for annual preparation of form 990 and trust tax returns.
  • Monitor UAH scholarship accounts to ensure accuracy of accounting and initiate corrective action as needed.
  • Review periodically donor accounts disbursement to ensure compliance
  • Maintain and apply a current in-depth knowledge of generally accepted accounting principles and pronouncements promulgated by the Financial Accounting Standards Board (FASB) and the Government Accounting Standards Board (GASB) and ensure Foundation compliance.
  • Maintain and apply a current in-depth knowledge of internal service regulations impacting the Foundation and ensure Foundation compliance and prepare the 1099's.
  • Work Closely with the Director on system integration to evaluate and implement improvements as needed for the structure of financial databases and other system related projects.
  • Assist and participate in special projects as assigned
  • Perform other duties assigned
Minimum Requirements
  • Bachelor's degree in Accounting, Finance or a related field 5 - 7 or more years of full‑time verifiable progressively responsible administrative work experience (of which should include accounting experience), or an equivalent combination of education and years of work experience
  • Must have advanced accounting knowledge, strong accounting and budgeting skills and experience
  • Proficient in Microsoft Office Suite
  • Knowledge of accounting information systems, mainframe computing, spreadsheet, word processing and database software applications
  • Must have excellent analytical, organizational, written and verbal communication skills
  • Ability to communicate and problem solve in a high transaction environment with attention to detail and accuracy
  • Ability to define problems, collect data, establish facts, and draw valid conclusions for reporting.
  • US Citizenship is required
Desired Qualifications
  • Experience in reporting financial analysis is desired
  • University or college accounting experience is preferred
