Job summary

University of Maryland, College Park is seeking a Dean’s Office Manager who will serve as a senior administrative leader directing operational, administrative, and strategic support for the Dean’s Office of Libraries. The role coordinates activities for Associate/Assistant Deans, advances planning and policy development, and acts with delegated authority on behalf of the Dean.

Qualifications

  • Bachelor's degree required; professional experience with supervisory or lead roles (3 years plus 1 year in supervision).
  • Strong written and oral communication; ability to develop and deliver trainings to large groups.
  • Ability to define deadlines, manage workloads, and maintain quality standards.

Job Summary

Reporting to the Dean of Libraries, the Dean’s Office Manager serves as a senior administrative leader responsible for directing the operational, administrative, and strategic support functions of the Dean’s Office. Additionally, the position coordinates the administrative activities for the Associate/Assistant Deans as needed. The role contributes to planning, policy development, and decision‑making affecting library‑wide operations, and acts with delegated authority on behalf of the Dean in designated areas, serving as a primary liaison to internal and external stakeholders. The incumbent works collaboratively within a team environment as well as independently and manages complex issues to advance the Libraries’ strategic plan and Dean’s initiatives, supervising one administrative coordinator and occasional student assistants.

Responsibilities
  • Reports to the Dean of Libraries.
  • Coordinates administrative activities for Associate/Assistant Deans as needed.
  • Contributes to planning, policy development, and decision‑making affecting library‑wide operations.
  • Acts with delegated authority on behalf of the Dean in designated areas.
  • Serves as primary liaison to internal and external stakeholders.
  • Collaborates within a team and independently manages complex issues to advance the strategic plan and Dean’s initiatives.
  • Supervises one administrative coordinator and occasional student assistants.
  • Establishes priorities, allocates resources, and ensures efficient administrative operations supporting the Libraries’ mission.
  • Exercises independent judgment in support of library administration and operations, leading special projects, committees, and task forces.
Qualifications
  • Education: Bachelor’s degree from an accredited college or university.
  • Experience: Three (3) years of professional experience and one (1) year in a supervisory or lead role. Additional work experience may substitute up to four (4) years for required education.
  • Knowledge: Principles and techniques of written and oral communication, documentation standards and procedures, intramural administrative procedures, and office productivity software such as Microsoft Office365 and Google Workspace.
  • Skills: Leading presentations and training sessions for large groups; collaborating with managers to resolve problems and implement improvements; coaching and mentoring team members; defining deadlines, managing workloads, and maintaining quality standards for deliverables.
  • Abilities: Comprehending complex interpersonal situations, applying empathy and discretion, and upholding documentation standards across all team functions.
Preferred Experience
  • Demonstrated experience with Workday.
  • Demonstrated experience using APA system and knowledge of faculty affairs procedures.
  • Demonstrated knowledge of UMD policies and procedures.
  • Demonstrated experience working with UMD campus offices.
Physical Demands
  • Primarily sedentary work in an office setting with light to moderate noise.
  • Sedentary work involving remaining in place for long periods.
  • Light work that includes moving objects up to 20 pounds.
  • Must be able to drive Libraries or UMD vehicles.

  • Must have a valid driver’s license.
