Job summary

Veeva Systems is seeking a senior events professional to lead food and beverage planning for major US events, including two large customer summits. You will manage budgets, menus, and vendor relationships while coordinating with marketing ops to project headcounts and ensure flawless execution.

The Role

This is a key contributor role with Veeva’s North America marketing team. The role is primarily responsible for food and beverage (F&B) planning and management for large-scale internal and customer events within the U.S.

The successful candidate must be able to focus on the pre-planning and execution side of food and beverage for events, be an operational contributor for all day-to-day processes, manage and reconcile F&B budgets, support execution of tactics, activities, and other details.

Secondary responsibilities will include supporting and/or managing other event planning workstreams as defined by manager.

Must be a team player working collaboratively with marketing and cross-functional teams.

What You’ll Do

• Planning and onsite executions of food and beverage management for our two US customer Summits, and internal Field Kickoff (2,500 - 3,500 attendees depending the event)
• Develops F&B menus for Veeva programs including any ancillary meetings associated with the core program
• Review attendee projections/estimates and works with Veeva marketing ops team on headcount estimates
• Responsible for finalizing F&B counts for each program element
• Submits menus and headcount to venue and works closely with the venue on any special requests
• Manages venue to Veeva expected service levels defined in our events best practices documentation
• Manages and maintains Veeva F&B planning spreadsheets and planning docs
• Ensures flawless execution, quality of service, and timely delivery of all necessary components and materials for each event
• Short- and long-range planning and proactive management and prioritization of timelines and priorities
• Developing YoY cost per head analysis against each program component that you manage and each line of business/service offering so that we can make informed decisions on size/location of events
• Reconciles and closes out final billings with venues
• Secondary: Support and/or manage other program workstreams as directed

Requirements

• 5+ years experience in corporate events managing major workstreams
• 3+ years experience in corporate events managing food and beverage
• 1+ year experience working on large scale events in a convention center
• Thrives in a fast-paced, high-pressure environment
• Proven excellence participating in cross-team program management
• Highly organized with superior attention to detail
• Exceptional written and oral communication skillsProven ability to build relationships with other teams and across all levels
• Self-starter, proactive, and critical thinker
• Ability to travel 20-25%

Compensation

• Base pay: $70,000 - $100,000

The salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. Please note that actual salaries may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
