Job summary

BioIVT seeks a Manager of Accounts Payable and Accounts Receivable to lead the AP/AR teams, ensuring timely invoicing, payments, credits, and collections in a regulated environment.

Qualifications

  • B.S. degree in Accounting or related field; or equivalent.
  • Progressive experience in management or supervisor roles.
  • 5–7 years of experience in public/private accounting preferred.
  • Biotechnology or manufacturing industry experience preferred.

Responsibilities

  • Supervising day-to-day operations of AP/AR collections.
  • Managing accounts payable tasks: invoices, payments, records.
  • Overseeing AR collection activities: statements, cash collection, disputes.
  • Reviewing and approving customer credits within limits.
  • Ensuring timely payments per policy.
  • Resolving vendor payment discrepancies and disputes.
  • Implementing and maintaining systems, procedures, and policies.
  • Providing training and guidance to staff.
  • Preparing and presenting AP/AR status reports to executives.
  • Preparing aging reports with collection status updates.
  • Maintaining and reporting KPIs for AR and AP.
  • Assisting with audits and recommending procedural improvements.
  • Supervising employees per policies; performance reviews; timekeeping; feedback; goal setting.

SUMMARY

The Accounts Payable (AP)/Accounts Receivable (AR) Manager is primarily responsible for overseeing and managing the entire AP and AR collections departments and staff in an organization.

This position will ensure compliance with Environmental Health and Safety (EHS) policies, standard documentation practices, Standard Operating Procedures (SOPs) and Good Laboratory Practice (GLP) regulations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Other duties may be assigned.

  • Supervising the day-to-day operations of the accounts payable and accounts receivable collections department.
  • Managing the company's financial tasks related to accounts payable, such as processing invoices, handling payments, and maintaining records.
  • Managing the company’s AR collection activities, such as sending customer statements, collecting cash and handling customer disputes.
  • Reviewing and approving all customer credits in accordance with established limits.
  • Ensuring that all payments are made in accordance with company policy and timely.
  • Resolving vendor payment discrepancies and disputes on behalf of the company.
  • Implementing and maintaining systems, procedures, and policies to ensure adherence to company guidelines and best practices.
  • Providing training, guidance, and direction to staff to ensure work is performed in an efficient, timely, and knowledgeable manner.
  • Preparing and presenting reports detailing the accounts payable status to company executives and senior management.
  • Preparing A/R aging reports with collection status updates to company executives and senior management.
  • Maintaining and reporting Key Performance Indicators for AR and AP.
  • Assisting with audits and providing recommendations for improving procedures and systems for initiating, approving, and recording accounts payable transactions.
  • Supervises employees in accordance with the organization’s policies and applicable laws. Responsibilities include training employees; planning assigning and directing work; supporting managers/directors in performance appraisals; reviewing weekly timesheets and time-off requests; providing regular feedback, and setting individual goals aligned with team and department goals.

Education and/or Experience
  • B.S. degree in Accounting or related field; or equivalent
  • Demonstrated progressive experience in management or supervisor
  • Five to Seven years of experience in public/private accounting preferred
  • Biotechnology or manufacturing industry experience preferred

  • Good oral/written communication
Reasoning Ability
  • Ability to troubleshoot method and instrument issues, as needed.
  • Ability to follow standard operating procedures.

  • Keen attention to detail
  • Sage experience is a plus.
