Aptive Resources is seeking a Management Analyst to provide human resources support and budget monitoring assistance to support the Department of Veterans Affairs (VA) Office of Research and Development (ORD) under the Field Enterprise Research Support Services (FERSS) contract. This role supports day-to-day administrative and analytical activities related to workforce coordination and budget tracking, allowing VA staff to focus on higher-level mission priorities.

This position supports program operations by maintaining accurate tracking tools, monitoring budget data, supporting onboarding and staffing coordination activities, and assisting with routine reporting and documentation. The successful candidate will demonstrate strong attention to detail, effective communication skills, and the ability to manage administrative workflows in a structured, reliable manner.

This position requires strong client interaction skills and a demonstrated ability to work with various stakeholders across multiple tasks. The successful candidate will be highly organized, systematic, and proactive in managing quality and exceeding client expectations within a fast‑paced environment.

This is a part‑time (20 hours per week), 100% remote position, with an assigned primary client site in East Orange, New Jersey.

(The role also may have the potential to expand to a full‑time position, with additional site assignments, if requested by the Government and if agreed to by the candidate).

Primary Responsibilities
  • Provide administrative and analytical support for human resources and budget monitoring activities in support of VA program operations.
  • Maintain and update budget tracking spreadsheets, ensuring timely and accurate data entry and reconciliation in coordination with VA staff.
  • Support monitoring of budget execution data, identify missing or inconsistent information, and flag issues for Government review.
  • Assist in the maintenance of workforce tracking tools, including Excel spreadsheets and SharePoint Lists used for HR and staffing coordination.
  • Support onboarding and offboarding processes for VA personnel, including tracking status, documentation, and coordination with stakeholders.
  • Prepare routine reports, summaries, and status updates related to HR support activities and budget tracking.
  • Support coordination of meetings, communications, and follow‑ups using Microsoft Teams and Outlook.
  • Apply standardized processes and templates to ensure consistency, accuracy, and completeness of administrative records and tracking tools.
  • Communicate clearly and professionally with VA staff and stakeholders to support efficient resolution of routine administrative issues.
  • Support continuous improvement of administrative workflows by identifying inefficiencies or gaps in tracking processes and recommending improvements.
Minimum Qualifications
  • Bachelor’s degree in business administration, public administration, human resources, finance, or a related field.
  • 4+ years of experience providing administrative, programmatic, or analytical support within a complex organization.
  • Demonstrated experience working with budgets, including entering, updating, and maintaining data in budget tracking spreadsheets.
  • Proficiency with Microsoft Office tools, including Microsoft Excel, Microsoft Teams, and SharePoint (e.g., SharePoint Lists or similar tracking tools).
  • Strong attention to detail and ability to maintain accurate records and tracking documentation.
  • Effective written and verbal communication skills.
  • Ability to work independently in a remote environment while managing assigned tasks and deadlines.
  • Ability to obtain and maintain a public trust clearance.
  • Legal authorization to work in the U.S.
Desired Qualifications
  • Experience providing HR or staffing support in a federal or large organizational environment.
  • Experience supporting onboarding processes for staff, contractors, or WOC personnel.
  • Familiarity with VA or other federal administrative environments.
  • Knowledge of or exposure to research program environments (preferred but not required).
  • Experience supporting budget monitoring or administrative tracking for multiple stakeholders or program offices.
  • Demonstrated ability to organize, prioritize, and manage routine administrative tasks with minimal oversight.
  • High level of experience and comfort working independently with senior leadership, faculty, staff, students, medical professionals, and external agencies in complex organizations.
  • Strong attention to detail, ability to manage multiple priorities, and proven ability to operate independently in a remote setting.
  • Ability to work well under pressure, multi‑task, and manage deadlines.
  • Must possess discretion and mature judgment, as confidential information is routinely encountered.
