Job summary

Summary

The Maintenance Supervisor is responsible for Planning, prioritizing, assigning, supervising, reviewing and participating in all tasks related to facility maintenance. This includes but is not limited to the organization and oversight of the routine and daily maintenance at a specified group of Burbank Housing apartment complexes, including the day to day scheduling and supervision of maintenance staff Maintenance Supervisors report directly to the Facilities Manager and are expected to interact frequently with the Site Management staff to help identify the needs of the properties. They are expected to work proactively, following and enforcing Burbank Housing standards and procedures. Maintenance Supervisors are expected to develop a strong working knowledge of all physical aspects of the properties within their assigned portfolio. The position requires good organizational and supervisory skills as well as the ability to prioritize and identify work according to the needs of the properties. In this leadership role, Maintenance Supervisors may be called upon to respond to and/or manage off-hour emergencies.

Specific Duties and Responsibilities
  1. Frequent travel between sites.
  2. Daily supervision, organization and scheduling of Maintenance Technicians and Maintenance Trainees within the area assigned to them according to the workload generated by the properties. This includes communicating with Site Management staff on a daily basis to monitor work orders, scheduled unit turns and any other maintenance related issues.
  3. Tracking of Maintenance Staff time and review and approval of time sheets for staff members assigned to their portfolio, including addressing vacation requests and absences and making time sheet and punch corrections.
  4. Approval of mileage expenses for employees under their supervision.
  5. Generate written personnel schedules, including the status of any ongoing unit turns, work orders, etc.
  6. Attend meetings with the Director of Maintenance Operations and or Facilities Manager other Maintenance Supervisors, and Property Management Staff.
  7. Conduct and document monthly “tailgate” safety meetings with their staff.
  8. Train, direct and, if necessary, assist Maintenance Staff to follow established Burbank Housing procedures including, but not limited to:
    • The use of Paycom software
    • The use of Elise AI maintenance application
    • Invoice coding requirements and required record keeping
    • Proper cleaning techniques
    • Supply management
    • Tool safety and handling
    • Electrical, plumbing, HVAC, drywall, flooring, and paint repairs
    • Paint preparation for in-house and outside vendors
    • Appropriate tenant interactions
    • Work safety
    • Full unit turnovers
    • Complete work orders of any nature
    • Plumbing, carpentry and electrical repairs
    • First story gutter cleaning
    • All grounds and interior cleaning
    • Replacement of door locks and authorized replacement/copying ofkeys
    • Exterior touch-up painting and all interior painting
    • Parking lot maintenance
    • Responding to off-hour emergencies when notified
    • Use of power tools such as, but not limited to, power washers (3000 PSI), electric drills, plumbing power snakes, electric saws, sanders, etc.
    • Review and follow equipment and systems manuals and maintenance instructions
  9. Ensure economic and efficient on-site supplies management.
  10. Conduct interactions with outside vendors as required.
  11. Provide ongoing job performance feedback and annual, written performance evaluations for staff under direct supervision.
  12. Participate in personnel conflict resolution in conjunction with the Facilities Manager and Human Resource staff.
  13. Participate in the recruitment of new maintenance and janitorial staff.
  14. Identify Maintenance related issues and bring it to on-site managements attention.
  15. Other duties as assigned.
Maintenance Management Skills

Must be self-motivated, detail-oriented, well-organized and sensitive to the needs and concerns of properties, tenants and staff. Ability to assess a project and/or task and estimate time needed to complete said task. Ability to read, interpret and complete work orders, ability to supervise others while assessing and reporting the maintenance needs of the properties assigned.

Ability to assess a project and/or task and estimate time needed to complete said task.   10. Ability to gain proficiency with software applications related to affordable housing maintenance, property management and timesheet review.

Education and/or Experience: At least four (4) years’ experience in residential maintenance or a similar trade.

Language Skills: Ability to read, write and interpret work orders. Ability to effectively communicate with management information and status of the work being done and document completed work orders or any follow-up required.

Other Skills and Abilities
  • Possession of a valid California Driver’s License, a good driving record and automobile insurance per requirements of the State of California.
  • Regular daily access to reliable, currently registered (vehicle) transportation, must be willing to provide own vehicle for driving. Mileage reimbursement is provided.
  • Ability to supervise staff following standardized procedures and company policies.
Physical Demands

While performing the duties of this job, employee is regularly required to walk; climb stairs, sit; use hands to handle objects/operate keyboards, tools or controls and power tools; apply repetitive motion with hammers and other hand tools, haul materials and push and pull with force; reach with hands and arms (above the head and below the waist); lift up to 50 pounds; stoop; climb ladders, kneel and crouch; talk and hear. Employee is required to work inside and outside in inclement weather, and may be required to walk over uneven ground. Employee may be required to drive a motor vehicle or other motorized cart and must maintain a Class C California Driver’s License in good standing.

Employee is required to work safely and anticipate hazards, to request training if the safe use of equipment is unknown, to wear appropriate personal protective equipment when hazards require such as respiratory protection when paint-spraying, working in dusty conditions, etc. See Respiratory Protection Program Guidelines.
