JOB SUMMARY
The Maintenance Supervisor reports to the Property Manager. Primary responsibilities include working with the maintenance team to ensure the repair and maintenance of property facilities and apartment units; responding promptly and courteously to service requests; maintaining an adequate supply of market-ready apartments to meet leasing demands; and overseeing the general appearance of the property to meet or exceed standards.
DUTIES/RESPONSIBILITIES
- Assist in preparing market-ready apartments, including painting, carpet, flooring, general repairs, and housekeeping.
- Efficiently schedule and supervise subordinates to ensure work orders and make-ready units are completed properly, timely, and according to schedule.
- Oversee work with vendors and contractors to ensure completion of assigned tasks.
- Inform the Property Manager of any repair work requiring outside contractors or major appliance replacements.
- Monitor and maintain the property’s preventative maintenance schedule and mechanical equipment, including water heaters, pool pumps, HVAC units, etc.
- Perform preventative maintenance functions and record findings appropriately; clean boilers twice per year if applicable.
- Conduct regular move-in unit inspections, checking appliances, sinks, faucets, toilets, blinds, etc.
- Respond to service requests, prioritize, and assign tasks to maintenance staff.
- Ensure all work order paperwork is completed accurately, debris is cleaned up, and proper records are maintained; communicate work status to Leasing Office staff.
- Handle emergency work orders on-call as needed, and coordinate with the Property Manager regarding after-hours efforts.
- Oversee and delegate on-call schedule and responsibilities to qualified maintenance staff.
- Maintain knowledge of maintenance functions such as plumbing, pool, HVAC, basic electrical, carpentry, painting, and snow removal (where applicable).
- Work with maintenance staff and landscaping vendors to keep grounds and common areas clean and well-maintained.
- Ensure trash and dumpster areas are clean and maintained.
- Maintain accurate inventory of maintenance and cleaning supplies; reorder as needed from approved vendors.
- Keep records of chemicals and their antidotes in a visible location.
- Adhere to OSHA and safety regulations applicable to property management.
- Assist the Property Manager with inspections, grounds checks, and other tasks as directed.
- Be knowledgeable about water and gas meter cut-offs, fixture shut-offs, sewer clean-outs, and post maps accordingly.
- Ensure storage areas are secure and well-lit.
- Perform regular inspections of units, buildings, and common areas, ensuring repairs, landscaping, and cleaning are completed; replace outside lights as needed.
- Oversee and perform light checks, including fixing or replacing bulbs to ensure proper lighting.
- Change air-conditioning filters at least quarterly.
- Represent the company professionally at all times.
- Ensure maintenance staff follow safe work practices and perform to company standards, handling service requests promptly.
- Wear company uniform daily, including ID badge.
- Maintain open communication with the Property Manager and staff.
- Assist with hiring, training, and developing maintenance and landscaping staff.
- Maintain a friendly, courteous attitude and promote a positive work environment; avoid confrontations in front of others.
SKILLS/ABILITIES
- Knowledge of HVAC systems.
- Supervisory experience and leadership skills.
- Familiarity with federal, state, and local laws concerning multi-family housing and Fair Housing regulations.
- Bilingual ability in Spanish is a plus.
- Proficiency with tools and equipment for repairs and maintenance; may need to provide personal tools.
- Ability to visually inspect units and grounds to ensure standards are met.
- Strong delegation and leadership skills.
- Attention to detail and problem-solving skills.
- Basic computer skills for operating mobile devices and software.
- Effective verbal and written communication skills; critical thinking abilities.
- Ability to maintain confidentiality and exercise discretion; proactive and capable of managing multiple priorities and deadlines.
EDUCATION AND EXPERIENCE
- High school diploma or GED; 3-5 years of experience in maintenance and mechanical repair, or equivalent combination of education and experience.
- EPA Type III or Universal license and Certified Pool Operator (CPO) certification required.
- Trade school or military training is advantageous.
- Trade skills include plumbing, electrical, drywall, painting, cabinetry, carpeting, pools, and appliance repair.
- Availability for on-call emergency work during weekends, evenings, and holidays.
