Job description

We're hiring a Maintenance & Renovations Coordinator to be the administrative backbone of our Facilities team. This is not a hands-on repair role — you'll keep maintenance requests, unit turns, and capital projects organized, documented, and moving on schedule, working directly alongside our Facilities Director.

This position is designed for someone who:

  • Stays organized and precise across several projects at once
  • Communicates clearly and follows through without being chased
  • Is comfortable being the go-between for our field team and our client-facing team
  • Is genuinely proficient with computers and software — we're a technology-forward company that uses AI in daily operations
  • Has a valid driver's license and reliable transportation

This role offers competitive hourly pay, a monthly gas stipend, hands-on training, and room to grow as our portfolio expands — full details below.

WORK SCHEDULE & EXPECTATIONS

This is a full-time, office-based position, Monday through Friday, 8:00 AM to 5:00 PM. You'll be on-site at our properties roughly half the time, checking on progress, with the rest of your time based from the office.

  • You'll help build and organize the technician on-call rotation for after-hours emergencies — you're coordinating the schedule, not personally on call for repairs
  • You'll work closely with our Facilities Director day to day, and with our Client Services team whenever a resident need comes in
WHAT YOU'LL DO
Maintenance Coordination
  • Serve as the link between our Client Services team and our Facilities technicians for incoming maintenance requests
  • Monitor, prioritize, and assign work orders to the appropriate technician
  • Coordinate the technician on-call rotation for after-hours and emergency coverage
  • Own the maintenance process from intake through completion — documentation, close-out, and follow-through
  • Track how long work orders stay open and flag anything at risk of backing up
  • Monitor routine building upkeep, groundskeeping, and snow removal across all properties
  • Keep leadership updated on status as needed, and keep documentation accurate enough that anyone on the team can follow it
Unit Turns
  • Track every unit turn from scheduling through completion, keeping billing accurate and on time
  • Coordinate the move-out process: log the move-out notice from Client Services, arrange for a service technician to begin the unit clean-out, and document the move-out condition with photos so the renovation team can scope the work
  • Place supply orders (Home Depot and other vendors) and pick up or deliver materials as needed
  • Maintain supply inventory and manage the key control system — checkout, tracking, and reconciliation
  • Confirm each turn's scope is properly documented before work begins, based on what the Facilities team identifies
  • Monitor progress against the turn schedule and flag anything falling behind
  • Conduct the final quality-control walkthrough once renovation and final cleaning are complete — nothing gets marked ready until you've confirmed it
  • Take final marketing photos and upload them into AppFolio
  • Prepare keys for handoff once a unit passes QC, and notify Client Services the unit is ready to show and lease
Capital Projects (CapEx)
  • Track larger building improvement projects from kickoff to completion
  • Maintain clear visibility into project status, costs, and timelines for ownership
  • Flag delays, risks, or budget concerns early so leadership can address them
WHO THIS ROLE IS FOR

Strong fit if you:

  • Take ownership of documentation and follow-through without being chased
  • Enjoy being the connector between a field team and a client-facing team
  • Want to grow into more responsibility as our portfolio grows

Not a fit if you:

  • Are looking for a hands-on repair or trade role — this is coordination and administration, not maintenance technician work
  • Prefer working independently with minimal day-to-day communication
PAY RANGE & HOW IT'S DETERMINED

$20–$22/hour

  • $20/hour to start
  • $22/hour after a successful 90-day period
REQUIRED QUALIFICATIONS
  • Valid driver's license and reliable personal transportation
  • Genuine proficiency with computers and software — daily use of documentation, photo uploads, tracking tools, and AI-assisted systems
  • Precise, detail-oriented, and organized — small errors in scope, billing, or documentation compound quickly across multiple properties
  • Able to work independently and follow through without close supervision
  • Authorized to work in the United States
  • Experience in property management, maintenance coordination, or a related operations/admin role
  • Familiarity with unit turn or renovation processes
  • Experience with AppFolio or similar property management software
BENEFITS & GROWTH
  • Full benefits package (medical, dental, vision)
  • Generous PTO — above industry average
  • Uniform, tools, and equipment provided
  • Monthly gas stipend for travel between properties
  • Company vehicle planned for this role as it grows
  • Hands-on training directly from ownership and the Facilities team
  • Real path to more responsibility and pay as our portfolio expands
A FINAL NOTE

We're a small, growing company that takes care of our people. We hire carefully because we want this to be a long-term fit — not a revolving door. If you bring real skills, show up consistently, and care about your work, you'll thrive here.

If you have questions about the pay range or what it takes to be considered at the higher end, ask us in your application or at the interview. We’re transparent about it.
