We're hiring a Maintenance & Renovations Coordinator to be the administrative backbone of our Facilities team. This is not a hands-on repair role — you'll keep maintenance requests, unit turns, and capital projects organized, documented, and moving on schedule, working directly alongside our Facilities Director.
This position is designed for someone who:

WORK SCHEDULE & EXPECTATIONS
This is a full-time, office-based position, Monday through Friday, 8:00 AM to 5:00 PM. You'll be on-site at our properties roughly half the time, checking on progress, with the rest of your time based from the office.
- You'll help build and organize the technician on-call rotation for after-hours emergencies — you're coordinating the schedule, not personally on call for repairs
- You'll work closely with our Facilities Director day to day, and with our Client Services team whenever a resident need comes in
WHAT YOU'LL DO
Maintenance Coordination
- Serve as the link between our Client Services team and our Facilities technicians for incoming maintenance requests
- Monitor, prioritize, and assign work orders to the appropriate technician
- Coordinate the technician on-call rotation for after-hours and emergency coverage
- Own the maintenance process from intake through completion — documentation, close-out, and follow-through
- Track how long work orders stay open and flag anything at risk of backing up
- Monitor routine building upkeep, groundskeeping, and snow removal across all properties
- Keep leadership updated on status as needed, and keep documentation accurate enough that anyone on the team can follow it
Unit Turns
- Track every unit turn from scheduling through completion, keeping billing accurate and on time
- Coordinate the move-out process: log the move-out notice from Client Services, arrange for a service technician to begin the unit clean-out, and document the move-out condition with photos so the renovation team can scope the work
- Place supply orders (Home Depot and other vendors) and pick up or deliver materials as needed
- Maintain supply inventory and manage the key control system — checkout, tracking, and reconciliation
- Confirm each turn's scope is properly documented before work begins, based on what the Facilities team identifies
- Monitor progress against the turn schedule and flag anything falling behind
- Conduct the final quality-control walkthrough once renovation and final cleaning are complete — nothing gets marked ready until you've confirmed it
- Take final marketing photos and upload them into AppFolio
- Prepare keys for handoff once a unit passes QC, and notify Client Services the unit is ready to show and lease
Capital Projects (CapEx)
- Track larger building improvement projects from kickoff to completion
- Maintain clear visibility into project status, costs, and timelines for ownership
- Flag delays, risks, or budget concerns early so leadership can address them

PAY RANGE & HOW IT'S DETERMINED
$20–$22/hour
- $20/hour to start
- $22/hour after a successful 90-day period
REQUIRED QUALIFICATIONS
- Valid driver's license and reliable personal transportation
- Genuine proficiency with computers and software — daily use of documentation, photo uploads, tracking tools, and AI-assisted systems
- Precise, detail-oriented, and organized — small errors in scope, billing, or documentation compound quickly across multiple properties
- Able to work independently and follow through without close supervision
- Authorized to work in the United States
- Experience in property management, maintenance coordination, or a related operations/admin role
- Familiarity with unit turn or renovation processes
- Experience with AppFolio or similar property management software
