Job summary

DFA Milk is seeking an inventory and administrative support member for the maintenance department. You will manage parts and materials, enter procurement data, and assist with purchasing workflows to keep operations running smoothly.

Ideal candidates will have 1–3 years of clerical or related experience, strong attention to detail, and proficiency with Microsoft Office; familiarity with SAP/EAM is a plus. This role involves travel and GMP compliance in a manufacturing setting.

  • Maintain inventory records and manage parts and materials.

  • Print and provide work orders and manage daily, weekly, and monthly reports.
  • Ensure clean, organized storage areas for parts and tools.
  • Record material movements and perform regular inventory cycle counts.
  • Maintain up-to-date manuals, prints, and schematics.

Job description

Perform administrative activities to maintain proper support and services to the operation of the maintenance department. Perform inventory manage, including organizing, maintaining, entering, and issuing parts and materials.

Job Duties and Responsibilities

  • Work with equipment manufacturers and maintenance staff on set up of preventive maintenance tasks and spare parts inventory for supported equipment
  • Coordinate, track, and maintain all work orders
  • Close corrective and preventive maintenance work orders upon completion and include pertinent information for equipment files
  • Maintain up-to-date library of machine manuals, prints, and schematics
  • Data enter procurement and inventory records by appropriate category (e.g., account, cost center, project) into the appropriate system (EAM/SAP)
  • Print and/or provide corrective work orders, preventive maintenance work orders, and parts automatic orders on a daily, weekly, and/or monthly basis
  • Generate a variety of reports for management (e.g., back-order, inventory, productivity reports)
  • Establish an organized method of storing parts and materials in bins or designated area. Issue and stock parts, materials, supplies, and maintenance tools
  • Maintain assigned area (parts, material bins and storage room) in a clean, orderly condition
  • Conduct daily spot inventory checks and notify the supervisor of any part, critical spare, or materials that have reached the minimum on hand level as designated, and record them on the appropriate documentation
  • Assist in ordering and receiving of maintenance related parts and materials; process purchase orders
  • Track maintenance spending
  • Receive maintenance and repair shipments; log all incoming materials; notify person material is addressed to; and deliver items. Shelve stock items
  • Assist or perform regularly scheduled physical inventory cycle counts to ensure inventory is being tracked correctly
  • Assist in the coordination of incoming contractors
  • Maintain safe working conditions for employees and compliance with all state and federal regulations regarding health and safety issues
  • Follow all DFA good manufacturing practices (GMP) and work in a manner consistent with all corporate regulatory, food safety, quality, and sanitation requirements

Requirements

Education and Experience

  • High school diploma or equivalent
  • 1 to 3 years clerical, production, or general work experience
  • Certification and/or License – may be required during course of employment
