We’re looking for a highly organized, detail-driven coordinator to help keep our field operations running smoothly. In this role, you’ll support our maintenance team by dispatching and tracking daily tasks, coordinating vendor schedules, managing routine reporting, and helping ensure homes are ready, safe, and guest-ready, especially during high-volume turnover periods.
This is a fast-paced role that requires strong communication, comfort with technology, and the ability to prioritize quickly as needs change throughout the day.
Daily Dispatch & Task Coordination
Monitor technician progress and task status throughout the day using our operations platforms and mobile tools
Assign, update, and follow up on maintenance tasks to ensure accuracy and timely completion
Enter new service requests and keep property/task information updated in our systems
Review and tidy daily task lists at the end of each day to keep operations clean and organized
Schedule and coordinate vendors for recurring and on-demand services (HVAC, plumbing, pools, pest control, landscaping, septic, construction, fire protection, and more)
Track appointments, confirm access details, and follow up to ensure work is completed and documented
Report and manage utility/service outages when needed (internet, power, water, etc.)
Reporting & Operational Admin
Monitor and respond to operational communications (email, text, calls) with professionalism and urgency
Produce recurring reports and checklists (ex: exterior inspections, grill cleaning, checkout-related items, etc.)
Support readiness decisions such as early check-in approvals by confirming home status with internal teams
Inventory & Supply Support
Help order and track signage needed for properties.
Work closely with Maintenance, Housekeeping, Guest Services, Reservations, and Owner Services to keep priorities aligned
Assist with emergency preparedness planning by helping build task lists, response teams, and assignments when needed
Strong organizational skills with the ability to manage multiple moving priorities at once
Clear, professional communication skills (written and verbal)
Comfortable working across multiple software systems and able to learn new platforms quickly
Ability to stay calm under pressure and make sound decisions in a fast-paced environment
High attention to detail and strong follow-through, accuracy and completion matter in this role
Prior experience in dispatching, property operations, maintenance coordination, or vendor scheduling is a plus
Hourly Wage:$19.00 per hour, plus aperformance-based bonus
