Job summary

Gilder Search Group is seeking a Maintenance Coordinator in the Dallas area to own resident service requests and keep vendors on track for timely completion.

You will engage residents professionally, coordinate activities, and support teammates while maintaining accurate files and positive outcomes. The role offers a hybrid work arrangement with standard hours and occasional overtime.

Qualifications

  • High school diploma or GED required.
  • 1+ year in single-family or multi-family rental property management.
  • Valid driver's license and reliable transportation.
  • Strong customer and resident service track record.
  • Excellent written and verbal communication.

Responsibilities

  • Be the go-to contact for resident service requests in your market.
  • Coordinate service requests and keep vendors on track for timely completion.
  • Provide courteous, professional support to residents and teammates.
  • Handle resident touchpoints via phone, email, notes, and in person.
  • Manage vendor relationships and align training with standards.
  • Monitor KPIs and manage workload effectively.
  • Reply to the shared inbox and route messages as needed.
  • Maintain organized resident and service files on the shared drive.

What You'll be Doing:
  • Act as the go-to contact for resident service requests in your market, always representing the company professionally
  • Take in, review, and coordinate service requests, keeping maintenance vendors on track for timely completion
  • Provide courteous, professional support to residents while working closely with teammates
  • Handle every resident touchpoint (phone calls, emails, written notes, and face-to-face conversations) with consistently high service quality
  • Manage vendor relationships: answer questions, set clear expectations, and deliver training aligned with company standards
  • Keep pace with department KPIs and stay on top of your workload
  • Monitor and reply to the shared email inbox, routing messages appropriately when needed
  • Keep resident and service files organized and current on the shared drive
  • Take on other projects as assigned by leadership
What You Bring:
  • High school diploma or GED
  • At least one year in single-family or multi-family rental property management
  • A valid driver's license
  • A track record of outstanding customer and resident service
  • Discretion when handling confidential information
  • Comfort collaborating both in person and through digital tools
  • Strong verbal and written communication skills
  • Working knowledge of Microsoft Office (Outlook, Word, Excel) and general tech comfort
  • Sharp attention to detail with the ability to juggle competing priorities
  • Excellent time management and reliable follow-through on deadlines
  • A proactive, self-starting mindset
Additional Information:

This position is based in our client's office in Dallas, TX, with the opportunity to work from home one day per week. Standard workdays are Monday through Friday, with occasional evening and weekend overtime hours.
