Job summary

Saia Inc. is seeking an administrative professional to support the maintenance department by processing repair and maintenance invoices and keeping accurate records.

You will coordinate with vendors, verify data against work orders, and enter information into internal systems, ensuring timely processing while maintaining confidentiality and compliance with company controls.

Qualifications

• High school diploma or GED is required.
• 2+ years of administrative experience.
• Experience in maintenance, transportation, or logistics functions.
• Knowledge of invoice processing and basic account principles.
• Proficiency in Microsoft Office.

Responsibilities

• Receives, reviews, and processes incoming maintenance-related invoices.
• Verifies invoice accuracy against work orders, purchase orders, and vendor agreements.
• Communicates with vendors and internal departments to resolve invoice discrepancies or incomplete documentation.
• Enters invoice data into maintenance and financial systems accurately and in a timely manner.
• Maintains digital and physical filing systems for invoices and maintenance records.
• Assists in tracking and reporting maintenance costs and expenses.
• Supports the Shop Manager and mechanics with administrative tasks as needed.
• Ensures confidentiality and compliance with company policies and internal controls.

Pay Rate: $22.30 - $27.05 per hour, based on experience
