Meadowood Napa Valley is seeking a Catering & Conference Services Coordinator to provide administrative and operational support, independently coordinating smaller events and experiences across the property. The role collaborates with chefs, managers, and other departments in a dynamic, luxury hospitality setting.

The position requires flexibility for evenings, weekends, and holidays, with strong organizational, communication, and multi-tasking skills.

Responsibilities

• Provide day-to-day administrative and operational support to the Catering & Conference Services team, including event documentation, BEO preparation and updates, menus, timelines, itineraries, event materials, and internal communication.
• Independently coordinate an assigned portfolio of smaller events across the property, including restaurant groups and internal programs.
• Support planning from coordination through execution, including menus, timelines, itineraries, guest details, setup requirements, and billing information.
• Work with Membership and operational teams to plan membership events and property programming.
• Collaborate across departments to ensure accurate event information and proactive planning.
