Role Summary:

The Order Fulfillment Specialist executes end-to-end pick/pack/ship for finished goods with a focus on vault accuracy, FEFO/lot control, manifest compliance, and on‑time, in‑full (OTIF) delivery readiness. This role stages orders, verifies SKUs/lots/quantities with scan validation, prepares shipping documents (invoice, COA, manifest copy), and supports drivers/dispatch to meet customer ETAs—while maintaining audit‑ready records in internal systems and the state‑mandated tracking system.

Key Outcomes (KPIs)

• Pick/Pack Accuracy: ≥ 99.7% line accuracy by SKU/lot.
• OTIF Readiness: ≥ 98% of orders staged by cutoff and route departure times.
• Inventory Accuracy (vault bins): ≥ 99.5% for assigned locations; variances resolved ≤ 48 hours.
• Document Accuracy: 100% correct manifests, COAs, labels, and shipping paperwork.
• Cycle Count Compliance: 100% of assigned counts completed on schedule.
• Safety & 5S: 100% PPE/ergonomics compliance; area passes weekly 5S audits.

Responsibilities:

Order Picking & Staging

• Pull orders using scan-based picking; verify SKU, lot, expiry (if applicable), case pack, and quantity against work orders.
• Apply FEFO and lot control; segregate quarantine/hold product; stage orders in secure, labeled bays.
• Communicate shorts/substitutions per rules set by Logistics Manager; update picks in WMS/ERP and state tracking.

Packing & Documentation

• Pack to standard (tamper‑evident, dunnage, case labeling); verify unit, case, and pallet labels.
• Prepare document sets for each order: invoice/packing list, COA, and manifest copy; ensure documents match lots and quantities.
• Capture pack weights/dimensions; apply shipping labels and route IDs per dispatch plan.

Vault & Inventory Control

• Perform daily bin checks and assigned cycle counts; reconcile and document variances promptly.
• Maintain clean, organized vault and pack areas; follow dual‑control and access rules.

Manifesting & Compliance Support

• Enter/verify order details in the state‑mandated tracking system and internal tools; ensure chain‑of‑custody is intact.
• Assist with manifest generation and driver packets; verify vehicles, drivers, and destinations match paperwork.

Returns & Reverse Logistics

• Receive authorized returns (RMAs); verify product and quantities against paperwork; update systems and stage for QA disposition.
• Document reasons for return (damage, discrepancy, expiration, customer error) and elevate trends.

Cross‑Functional Communication

• Coordinate with Sales for order notes and buyer requests; with QA for COAs/holds; with Drivers/Dispatch on route timing and dock appointments.
• Participate in daily stand‑ups; flag blockers early (inventory gaps, COA timing, packaging shortages).

Safety, Security & Housekeeping

• Use required PPE; follow lifting/ergonomics, dock safety, and vault security protocols.
• Maintain 5S standards; clean‑as‑you‑go; support monthly wall‑to‑wall counts.

Qualifications

• 1–3 years in warehouse, fulfillment, or distribution (regulated/high‑value goods preferred).
• Proficient with scan‑based picking, lot/FEFO control, and basic WMS/ERP tasks; comfortable with labelers/scanners/tablets.
• Detail‑oriented with strong documentation habits; familiar with packing standards and shipping paperwork.
• Clear, courteous communicator with a customer‑service mindset; calm under time pressure.

Physical & Schedule Requirements

• Stand/walk for extended periods; repetitive lifting up to 50 lbs; frequent bending/stooping and pallet/cart handling.
• Work in secured vault/warehouse, coolers (if applicable), and loading docks; exposure to packaging dust and cleaning agents (PPE provided/required).
