University of Kansas is seeking a Logistics Specialist to manage centralized mail and package receiving, processing, tracking, and distribution for research facilities on the Lawrence campus. The role is based at the MRB loading dock and requires operation of university-issued vehicles and coordination with Facilities Services.

The position includes full-time hours, a standard 8 am–5 pm schedule with overtime as needed, and benefits.

Qualifications

  • High school diploma or GED and four years of office experience or four years of post-secondary education.
  • One year of clerical, office support, mail services, shipping/receiving, or customer service.
  • Valid driver’s license at time of hire and throughout employment.
  • Ability to operate university-issued vehicles.

Responsabilités

  • Receives, inspects and sorts all mail and Inter-office mail for the Research departments on the Lawrence campus.
  • Assists customers at the service window and helps with delivery forms.
  • Verifies recipients and researches discrepancies to ensure delivery accuracy.
  • Documents damage and uses tracking to log packages and deliveries.
  • Delivers mail and packages along established routes with required signatures.

Position Overview

The Logistics Specialist is responsible for the centralized receiving, processing, tracking, and distribution of mail and packages for research facilities across the University of Kansas Lawrence campus. Based full-time at the Multidisciplinary Research Building (MRB) loading dock and reporting to the Associate Director for Facilities Services this position serves as the primary point of contact for incoming shipments and mail services supporting research operations.

The Logistics Specialist manages the flow of mail and packages through all stages of the logistics process, including receiving, sorting, processing, tracking, recordkeeping, and distribution. The position plays a critical role in supporting research activities by ensuring efficient and reliable delivery services throughout KU Lawrence research facilities. This position requires the operation of University-issued vehicles.

Work Hours: Monday through Friday: 8 am- 5pm with overtime and after hours call back as needed.

Job Description
40% - Mail and Package Receiving, Processing, Delivery
  • Receives, inspects and sorts all mail and Inter-office mail for the Research departments on the Lawrence campus (includes daily mail pickup from the post office).
  • Provides assistance to customers at the service window. Assists customers in completing necessary delivery forms. Resolves minor customer complaints or issues.
  • Verifies all recipients and researches discrepancies to ensure accuracy of all deliveries.
  • May assist with filing freight damage claims for items received in the Storeroom to seek reimbursement.
  • Documents any damage identified with mail and/or packages upon receipt.
  • Utilizes automated package tracking system to log and record all packages received, and to ensure accurate and efficient delivery of all mail/packages.
  • Creates delivery route using package tracking system.
  • Delivers all mail, packages and parcels utilizing established delivery routes, in accordance with established departmental and location standards.
  • Obtains appropriate signatures on mail and packages, as required, to confirm delivery.
30% - Outgoing Mail and Shipping Services
  • Stamps, processes and records all Office of Research campus out-going mail/packages utilizing automated postage metering systems.
  • Appropriately sorts and prepares out-going mail and/or packages.
  • Collect outgoing mail utilizing established routes.
25% - Compliance, Safety & Workplace Standards
  • Ensure activities are conducted in a professional and ethical manner, and in accordance with KU Lawrence, Office of Research, and Environmental Health and Safety Policies and applicable local, state and federal laws and regulations.
  • Maintain confidentiality of packages. Handle sensitive data with discretion and in accordance with Office of Research policies and legal requirements.
  • Maintain the highest standards of integrity, respect, professional conduct, and ethical standards.
  • Maintains clean, orderly, hazard free, fire safe and secure workplace.
  • Develop, maintain and expand job-specific knowledge and skills to keep pace with industry changes and support the university's commitment to excellence and innovation.
  • May participate in relevant committees, task force, or other similar activities.
5% - Other duties as assigned
Position Requirements
  • Work indoors and outdoors in a variety of temperature and weather conditions.
  • Bend, stoop, kneel, climb ladders or stairs, and traverse campus terrain.
  • Lift and carry up to 20 pounds frequently and up to 50 pounds occasionally, with or without accommodation.
Required Qualifications
  • High school diploma or GED equivalency and four (4) years of office experience or four (4) years of post‑secondary education.
  • One (1) year of clerical, office support, mail services, shipping/receiving, customer service, or related experience.
  • Valid driver’s license at time of hire and throughout employment.
Preferred Qualifications
  • One (1) year of experience in a receiving dock or mailroom setting.
  • Experience in a large institutional or academic environment.
  • Strong verbal communication skills as demonstrated through interview and references.
