Position: Logistics Operations Specialist - Industrial Parts

Location: Itasca, IL (Hybrid)

Work hour: 9:00 am- 5:00 pm

Employment: Non-Exempt, Direct-Hire, Full-Time

A global trading company is seeking a reliable Logistics Operations Specialist in Itasca, IL. This role supports daily import and inventory operations for industrial parts from Asia, serving customers across North America. The ideal candidate will have strong organizational, communication, and analytical skills, and enjoy a dynamic environment with cross-functional responsibilities.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES INCLUDE BUT NOT ARE LIMITED TO:

Coordinate daily shipments and logistics with warehouses, customers, and suppliers

Process shipping documents, create and manage internal records such as vessel/container receipts

Review and organize documentation for customs, regulatory compliance, and invoicing

Monitor inventory and product pricing, ensuring data is up to date and accurate

Prepare quotations, purchase orders, invoices, and packing lists for international and domestic customers

Review freight and customs invoices and submit for payment processing

Verify customs entries and manage duties and tariffs billing

Work with internal teams to investigate and resolve accounting or inventory discrepancies

Communicate directly with customers to confirm order details, pricing, and delivery timelines

Maintain accurate documentation and reports in Excel and internal tracking systems

Support the sales team and division manager with administrative and operational tasks

Assist with special projects and ad-hoc tasks as assigned by management

QUALIFICATIONS:

Bachelor's Degree or higher education required

Minimum 1 year of experience in logistics, supply chain, inside sales, or a related field

Proficiency in Microsoft Office, especially Excel (intermediate level)

Strong communication and interpersonal skills with internal and external teams

Solid analytical, mathematical, and problem-solving abilities

Japanese bilingual ability or cultural understanding is a strong plus
