SUMMARY
Responsible for providing proactive and excellent customer service to assigned accounts, assisting with scheduling inbound and outbound shipments with customer’s carriers (including LTL and TL shipments) if applicable, managing invoices and billing documents, and responding to all inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc. Helps implement company quality, safety, and customer standard operating procedures (SOPs) and coordinates with vendors, sales staff, customer service representatives, billing representatives, warehouses, and shippers as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain consistent contact with clients and agents.
- Act as liaison between warehouse and customer for account and operational needs and resolve discrepancies.
- Develop and maintain productive relationships with clients, vendors, agents, and industry partners.
- Oversee all aspects of assigned orders, including order entry, scheduling transportation, maintaining order communication, tracking status, addressing cancellations, resolving order issues, maintaining documentation, and providing proactive customer support.
- Maintain and adhere to company SOPs and quality assurance processes and guidelines for all customers and warehouse activities.
- Support onboarding process for new customers.
- Maintain damage records, backorder logs, and regulatory reporting as needed.
- Identify and recommend process improvements.
- Coordinate with corporate billing staff to ensure warehouse accounts are billed accurately and timely; review and prepare billing as needed.
- Maintain project KPIs; recommend training, work allocation, and problem resolution.
- Maintain customer reporting for internal and external customers.
- Participate in internal and/or external customer meetings.
- Participate in development of department goals and objectives; recommend, implement, and administer methods and procedures to enhance operations.
QUALIFICATIONS
- Minimum of high school diploma; college degree or some college experience preferred.
- Minimum two (2) years of direct experience in a similar industry or completion of logistics and transportation courses through an accredited college.
- Direct supervision of a team of five (5) to fifteen (15).
- Knowledge of inventory management procedures and general warehousing terminology and practices.
- Familiarity with warehouse and inventory management systems.
- Solid mathematical and financial accounting principles.
- Proficiency with Microsoft Office (Excel, Outlook) and ability to quickly learn warehouse and transportation systems.
- Strong spreadsheet tracking and data analysis skills.
- Excellent interpersonal and communication skills.
- Ability to manage multiple party communications using various software technologies and to negotiate and resolve customer claims.
- Exceptional time‑management, prioritization, and proactive communication with management.
- Strong teamwork and cooperation skills.
- Availability to work a flexible schedule.

Employee is regularly required to stand, walk, sit, use hands to finger, handle or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl; lift and/or move up to 49 pounds unassisted; use hands and feet simultaneously for repetitive movements; and may be exposed to moderate noise or variable weather conditions. Work environment includes a cubicle setting and occasional exposure to warehouse conditions.
