Job summary

Academic Expeditions is seeking a detail-oriented Logistics Coordinator for our spring and fall seasons in the Washington, DC, Philadelphia, and New York City metro areas. This part-time, seasonal role supports hotel and airport check-ins and ensures smooth ground transportation logistics for student travel programs.

Ideal candidates are self-motivated, able to work independently, and comfortable lifting up to 25 lbs.

Qualifications

  • High attention to detail and accuracy in logistics tasks.
  • Ability to work independently with minimal supervision.
  • Stamina to stand/walk for extended periods and lift up to 25 lbs.
  • Must pass background check.
  • Reliable transportation to multiple metro-area locations.
  • Familiarity with long-distance student travel is a plus.

Responsibilities

  • Manage group hotel check-ins, room keys, inspections, and meal/parking reservations.
  • Coordinate group airport check-ins and handle baggage payments with company card.
  • Support other duties as needed during peak travel seasons.

About the Role

Academic Expeditions runs multi-day student travel programs throughout the world, with a particularly heavy footprint in our nation's capital and along the eastern seaboard. We pride ourselves on delivering fully inclusive, safe, and educational trips to middle and high school students from across the country.


We're looking for a detail-oriented Logistics Coordinator to provide \"behind the scenes\" support during our busiest travel seasons: spring and fall. If you're the kind of person who thrives on making sure every moving piece lands exactly where it should, this role is for you.


What You'll Do


  • Hotel check-ins: Manage all aspects of group check-in, including receiving and sorting room keys, conducting room inspections, and confirming motor coach parking and meal reservations

  • Airport check-ins: Facilitate group check-ins with airlines and handle checked bag payments (company credit card provided)

  • Other duties as assigned


What You Bring


  • Strong attention to detail

  • Reliable, consistent performance with the ability to work independently and with minimal supervision

  • Ability to use stairs, stand/walk for extended periods, and lift up to 25 lbs

  • Ability to pass a background check

  • Reliable transportation to locations within the greater Washington, DC metro area (fuel allowance provided), Philadelphia, and New York City

  • Familiarity with over-the-road student travel preferred


Compensation & Schedule


  • Salary is open to negotiation

  • Part-time, seasonal: March-June and October-November
