Qualifications

• 2–4 years of freight coordination experience, preferably in construction.
• Experience coordinating in construction is a plus.
• Strong organizational and proactive communication skills.
• Familiarity with FTL, LTL, and broker-based coordination.

Responsibilities

• Own orders from release to final delivery to the jobsite.
• Ensure ship dates are met and escalate when needed.
• Follow up with manufacturers as dates approach to prevent delays.
• Coordinate outbound freight for FTL/flatbed and hotshot shipments.
• Request, negotiate, and book shipments via freight brokers.
• Confirm site access, contacts, and offload equipment.
• Track pickup/delivery windows and handle delays in real time.
• Communicate shipment details to PMs, customers and MFRs.
• Maintain shipment docs (BOLs, carrier info, site contacts).
• Update QuickBooks upon successful delivery for invoicing.

Role Summary

The Logistics Coordinator manages outbound freight logistics for steel joist and metal deck shipments from O’Donnell Metal Deck locations and manufacturers to construction jobsites. This role follows up with manufacturers to keep production on schedule, coordinates delivery details with jobsite contacts, and sources rates through freight brokers to ensure timely, accurate, and cost-effective shipments.

Construction jobsites are fast-moving and unpredictable. Delays at origin points, such as loading bottlenecks or last-minute manufacturer changes, often require immediate coordination to avoid disruptions to the jobsite schedule. On-site crews depend on materials arriving within tight windows, especially when cranes or install crews are scheduled. In our customer interviews, reliable and timely delivery consistently ranks as a top reason they choose us. This role plays a critical part in upholding that trust— holding manufacturers to their ship dates, keeping jobsites from pushing delivery windows out, managing time-sensitive freight issues and ensuring we meet jobsite expectations every time.

Primary Responsibilities

• Take ownership of the order once it's released to the plant by the PM, managing it through final jobsite delivery
• Hold manufacturers to committed ship dates and jobsites to planned delivery windows and elevate when needed
• Follow up with the manufacturers as the ship date approaches to catch and prevent delays before they impact the schedule
• Coordinate outbound freight for full truckload (FTL) flatbed & hotshot deliveries from MFRs to jobsites.
• Request rates, negotiate and book shipments through freight brokers (not direct carriers) to stay within budget and identify cost-saving opportunities.
• Confirm site access, site contacts, and offload equipment with construction crews or foremen.
• Track & confirm freight pickup and delivery windows; handle delays or carrier issues in real time.
• Communicate shipment details clearly to project managers, customers, and MFRs.
• Maintain accurate shipment documentation (BOLs, carrier info, site contacts) in internal systems.
• Update QuickBooks upon successful delivery for material receipts and project invoicing
• Flag any freight-related cost changes or delivery risks to internal teams.

Requirements

Required Skills & Experience

• Strong understanding of FTL flatbed freight and broker-based coordination.
• 2–4 years experience coordinating freight, Experience coordinating in construction is a plus
• Comfort managing vendor relationships and timelines proactively, not just reactively.
• Familiarity with oversized loads and LTL shipments is a plus.
• Experience coordinating secure deliveries (e.g., military bases, ports) where driver pre-clearance or special site access is required is a plus.
• Effective communicator with jobsite personnel and internal teams.
• Highly organized, able to manage multiple active shipments at once.
• Proficient with email, phone coordination, and basic digital tracking tools.
