Job summary

Southeast Restoration Group is seeking an Operations Coordinator to support Mitigation and Production operations. The role focuses on data integrity, scheduling optimization, administrative support, and enhancing communication among customers, trade partners, and teams.

You will help manage project documentation, invoicing, and AR processes while coordinating with project managers to ensure efficient operations and timely payments.

Qualifications

• High school diploma or GED required; additional admin coursework preferred.
• 3+ years in administrative, operations, or customer service roles.
• Strong communication and customer service skills.
• Comfort navigating multiple business platforms and learning new systems.
• Must manage multiple priorities in a fast-paced environment.
• Basic invoicing understanding helpful.

Responsibilities

• Maintain accurate job file data across systems to support project execution.
• Oversee administrative lifecycle of a high volume of projects from start to finish.
• Ensure timely invoice processing and support financial accuracy on active job files.
• Collaborate with Project Managers to schedule work orders and manage equipment logistics.
• Keep schedules up-to-date for optimal resource use and efficiency.
• Serve as a communication bridge between customers, trade partners, insurance contacts, and internal teams.
• Coordinate documentation to ensure compliance with project and insurance requirements.
• Support collections by monitoring project balances and following up on outstanding invoices.

This essential role ensures operational excellence by maintaining data integrity, optimizing scheduling, supporting administrative processes, and enhancing communication between team members, customers, and trade partners.

Your Impact: Key Responsibilities

Data Management & Operational Support

• Maintain accurate and consistent job file data across systems to support seamless project execution.
• Oversee the administrative lifecycle of a high volume of projects from initiation through completion.
• Ensure timely invoice processing and support financial accuracy on active job files.

Scheduling & Logistics Coordination

• Collaborate with Project Managers and Mitigation leadership to schedule work orders and manage equipment logistics.
• Keep schedules accurate and up-to-date, ensuring optimal resource use and operational efficiency.
• Actively participate in production reviews, identifying opportunities to improve cost control and workflow.

Customer Service & Administrative Support

• Serve as a communication bridge between customers, trade partners, insurance contacts, and internal teams.
• Maintain detailed documentation of project activities and communication records.
• Coordinate required documentation to ensure compliance with all project and insurance requirements.

Accounts Receivable Support

• Support collections processes by monitoring project balances and following up on outstanding invoices.
• Engage with customers and carriers to ensure timely payments and resolution of financial discrepancies.
• Serve as the first line of action on past due balances, utilizing established collection procedures.

Qualifications

• Education: High School Diploma or GED required; additional administrative or business coursework preferred.
• Professional Experience: Minimum of 3 years in an administrative, operations, or customer service role.
• Communication Skills: Clear, professional communicator with strong customer service acumen.
• Technical Proficiency: Comfortable navigating multiple business platforms and learning new systems.
• Organizational & Time Management: Able to manage multiple priorities with attention to detail in a fast-paced environment.
• Financial Awareness: Understanding of basic invoicing and AR practices preferred.
