Job summary

Universal Leaf North America in Nashville, NC is seeking a Logistics Administrator to manage international sales orders, coordinate logistics, and support the sales team. You will ensure accurate records, on-time shipments, and effective communication with customers and partners.

A strong background in logistics, detail orientation, and teamwork is required. The role requires a bachelor’s degree in business or equivalent experience, plus multiple years in transit/logistics and manufacturing

Qualifications

  • Bachelor's degree in business or equivalent work experience.
  • Two or more years of domestic and international transit and logistics experience.
  • Two or more years of experience working with government officials, freight forwarders and transportation companies.
  • Five or more years of experience in manufacturing and logistics environment.
  • Proficient in Excel, Word, and Microsoft applications.
  • Ability to work independently and in a team.
  • Excellent verbal and written communication skills.
  • Strong organizational and problem-solving skills.
  • Willingness to work overtime to meet deadlines.
  • Adapt to frequent changes in climate, environment, workload and schedules, including weekend work.

Responsibilities

  • Abide by and enforce company policies, safety procedures and housekeeping practices.
  • Process and manage international sales orders from receipt to delivery.
  • Coordinate with sales, customers, and shipping departments to ensure timely order and shipment fulfillment.
  • Maintain accurate records of sales orders, shipments, and inventory levels.
  • Arrange and monitor international shipments, ensuring compliance with regulations.
  • Liaise with freight forwarders, customers brokers, and logistics partners.
  • Track and report shipment status and resolve transit issues.
  • Provide excellent customer service to international clients and inquiries.
  • Communicate order status, shipping details, and delivery schedules to customers.
  • Assist in preparing invoices and shipping documents.
  • Maintain and update sales and shipping systems for accuracy.
  • Monitor inventory, sales orders, and logistics.
  • Support sales and origin teams with administrative tasks.
  • Assist external and internal auditors as needed.
  • Contribute to process improvements in Sales and Logistics.
  • Perform other duties and special projects.

Our Nash Facility is the most technologically advanced tobacco threshing operation in the world. We can processover one million pounds of semi-perishable tobacco per day by transforming it into a stable tobacco material thatcan be stored for years, all while meeting the exacting standards of the tobacco product manufacturers.

As a compliment to ULNA’s leaf stemming business, our J. P. Taylor Company, L.L.C. facility provides tobacco stemsand scrap blending, rolling, and cutting, which further enhances the total value and usability of the entire tobaccoleaf. Both the Nash and J.P. Taylor facilities maintain ISO9001 Quality and ISO 14001 Environmental systems,which further support our commitment to our customers and other stakeholders. The unusable tobacco wastematerial from both facilities is transformed into organic compost at our Carolina Recycled Ag Materials, LLC(CRAM) facility, which provides a cost-effective and environmentally friendly alternative to commercial fertilizers.

Additional services include Universal Storages, where we assist our customers in managing their tobacco logisticsand storage requirements.

Summary

As a Logistics/Sales Administrator at Universal Leaf North America, you will be responsible for managing and coordinating international sales orders, ensuring efficient logistics operations, and providing exceptional support to our customers, global origin offices, and sales team. This role requires strong attention to detail, a logistics background, and ability to handle ambiguity.

What You'll Be Doing (Essential Duties)
  • Abide by and enforce company policies, safety procedures and good housekeeping practices
  • Process and manage international sales orders from receipt to delivery.
  • Coordinate with sales, customers, and shipping departments to ensure timely order and shipment fulfillment.
  • Maintain accurate records of sales orders, shipments, and inventory levels.
  • Arrange and monitor international shipments, ensuring compliance with all regulations and requirements.
  • Liaise with freight forwarders, customers brokers, and other logistics partners to ensure smooth transportation of goods.
  • Track and report on shipment status, resolving any issues that arise during transit.
  • Provide excellent customer service to international clients, addressing inquiries and resolving issues promptly.
  • Communicate effectively with customers regarding order status, shipping details, and delivery schedules.
  • Assist in preparing and processing documentation, including invoices and shipping documents.
  • Maintain and update sales and shipping systems with accuracy and completeness.
  • Monitor and oversee inventory, sales orders, and logistics.
  • Support the sales and origin teams with administrative tasks as needed.
  • Assist external and internal auditors as necessary.
  • Contribute to ongoing improvement of Sales and Logistics processes.
  • Perform other duties and special projects as assigned.
  • Bachelor's Degree in a business-related field preferred, or equivalent work experience.
  • Two or more years of domestic and international Transit and Logistics experience,
  • Two or more years of experience working with government officials, freight forwarders, customs brokers and transportation companies.
  • Five or more years of experience working in a manufacturing and logistics environment.
  • Computer proficiency, including Excel, Word, and other Microsoft applications.
  • Ability to work independently and in a team environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and problem-solving skills.
  • Strong work ethic with attention to detail.
  • Willingness to work overtime to meet firm deadlines.
  • Adapt to frequent changes in climate, environment, workload and schedules, including Saturday and Sunday work when required
Preferred Requirements
  • Knowledge of Incoterms and ISO quality program is helpful.
  • Basic understanding of Accounting is preferred.
