Responsibilities

  • Coordinate day-to-day operations of the Rental Department.
  • Supervise Rental Associates; hire, train, and evaluate staff as needed.
  • Enter approved new corporate/billing accounts into the rental system.
  • Run bi-weekly AR aging reports and coordinate collections for past due accounts.
  • Prepare Daily Business Reports and communicate with Accounting.
  • Generate utilization reports from rental system software for the Rental Manager.
  • Serve as primary contact for fleet leasing clients requiring rental vehicles.
  • Handle internal and external customer service issue follow-ups.
  • Provide backup coverage for Rental Employees (answering phones, booking reservations, printing contracts).
  • Verify customer insurance meets minimum coverage, process payments, and prepare vehicles for rental.

Job description

Coordinate the day-to-day operations of the Rental Department. Responsible in managing Rental Associates, processes insurance claims and accounts receivables. Generates and provides various reports to management and provides exceptional customer service to our internal and external customers.

Responsibilities:
  • Provides day-to-day supervision and management to rental department staff, ensures adequate staffing levels are met, interviews and hires qualified candidates, monitors and evaluates staff performance and handles disciplinary actions and terminations as needed
  • Enters approved new corporate/billing accounts into rental system
  • Runs bi-weekly accounts receivable aging report; prioritizes past due accounts, conducts some collection calls and assigns follow up and collection calls to Rental Agents.
  • Responsible for Daily Business Reports, payments, and timely communication with Accounting.
  • Generates utilization reports through rental system software and provides to Rental Manager.
  • Serves as the primary contact for fleet leasing clients that need a rental vehicle.
  • Follow-up with customer service issues internally and externally
  • Serves as a backup for Rental Employees including:
    • Answers phones and books reservations in rental system
    • Prints rental contracts and ensures customer’s signature upon pick up of vehicle
    • Verifies customer insurance and ensures minimum coverage requirements are met
    • Processes payments
    • Preparing vehicles for rental
Physical Demands:

While performing the duties of this Job, the associate is regularly required to sit; use hands and fingers, handle, or feel and talk or hear. The associate is frequently required to stand; walk and reach with hands and arms. The associate must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, color vision and ability to adjust focus.

Qualifications:
  • Minimum 2 years of rental experience
  • High School Diploma or equivalent with preference for an Associate Degree, will consider a combination of knowledge and work experience
  • Preference for experience managing associates or leadership experience
  • Demonstrated ability to remain organized in a fast-paced work environment
  • Valid Driver License with good driving record
  • Strong attention to detail
  • Relationship building skills with customer service orientation
  • Ability to effectively manage Rental Associates
  • Computer proficiency using Microsoft Office products, Excel and Word
