Job summary

University of Maryland Medical System seeks a contract management professional to oversee provider and vendor agreements. You will ensure compliance with UMMS policies, maintain contracts in NTRACTS, and collaborate with Legal, Compliance, and leadership to execute agreements.

You will monitor RFPs/RFIs, prepare leases, and drive cost-saving opportunities while maintaining accurate contractual records and supporting cross-functional teams.

Qualifications

  • Bachelor’s Degree is required.
  • Two years of related contract management experience.
  • Food Service management experience.
  • ServSafe certification.
  • Experience with analyzing bids, contracts, legal documents, RFPs and RFIs.
  • Master’s degree preferred in Business, Hospitality, or related field.
  • Experience with NTRACTS or similar CLM platform is preferred.

Responsibilities

  • Manages vendor contracts to ensure Landlord compliance, vendor compliance, security, price competitiveness, utilization, and alignment with market trends.
  • Monitors all agreements, current and proposed, and ensures compliance with UMMS Corporate Contracting Policy.
  • Collaborates with Legal, Decision Support, Compliance, Ambulatory and UMMC Leadership to ensure contracts are executed per policies.
  • Prepare leases, lease abstracts, and lease summary schedules for tenants as directed.
  • Reconcile monthly financial reports and processes payables, commissions, and rebates, and tracks rent/commission/fee collections.
  • Reviews contracts on an ongoing basis and informs leadership of concerns, opportunities for efficiencies and cost savings
  • Maintains contractual records and documentation for all projects.
  • Manages contract records of executed contracts in UMMS contract repository to ensure compliance with policies.
  • Leads infrastructure planning for centralized licensing repository and routine reminders of expirations.
  • Partners with the UMMS Office of General Counsel to ensure contract management adheres to policy SC-CQ-20-001.
  • Monitor RFPs/RFIs, screen opportunities, and assist proposal development efforts.
  • Develops strong working relationships across departments and leadership levels.
  • Perform all other duties as assigned.

Primary Responsibilities
  • Manages vendor contracts to ensure Landlord compliance, vendor compliance, security, price competitiveness, utilization, and alignment with market trends.
  • Monitors all agreements, current and proposed, and ensures that contracts are in compliance with the UMMS Corporate Contracting Policy.
  • When informed of service/compensation arrangements in the absence of a contract, as required by UMMS policy, works with the vendor and business owner to create compliant agreement.
  • Prepare leases, lease abstracts, and lease summary schedules for tenants as directed.
  • Reconcile monthly financial reports and processes payables, commissions, and rebates, and tracks rent/commission/fee collections.
  • Reviews contracts on an ongoing basis and informs leadership of any concerns, opportunities for efficiencies and cost savings
  • Maintains contractual records and documentations such as receipt and control of all contract correspondence, customer contact information sheets, contractual changes, status reports and other documents for all projects.
  • Manages contract records of executed contracts in UMMS contract repository to ensure compliance with UMMS Corporate Contracting Policy.
  • Recommends infrastructure of centralized licensing repository for UMMC to include routine reminders of expiration to business owners . Once approved by Director, leads creation and implementation of infrastructure. Recommends other program design and future service plans.
  • Partners with the UMMS Office of General Counsel to ensure the contract management process adheres to UMMS contracting policies, specifically UMMS Contracting Policy SC-CQ-20-001.
  • Monitor RFPs/RFIs, screen opportunities, and assist proposal development efforts. .
  • Develops strong working relationships with colleagues across departments and seniority levels.
  • Perform all other duties as assigned.
Work Experience
Education & Experience - Required
  • Bachelor’s Degree
  • Two years of related experience in contract management

Education & Experience - Preferred
  • Master’s degree preferred in Business, Hospitality, or related field, or equivalent combination of education and experience

Knowledge, Skills, & Abilities
  • Expert in Excel, Word, PowerPoint expected
  • High proficiency level with spreadsheet applications.
  • Advanced analytical, critical thinking and interpersonal skills
  • Demonstrated ability to work with professional, multi-disciplinary teams as a group leader as well as a participant
  • Demonstrated skills and experience in complex contract negotiations
  • Must be able to analyze contracts, terms and conditions, and ramifications of contractual verbiage as it relates to product, service, supplier, in question and those ramification within the organization
  • Ability to operate in a diverse environment with focus on customer service.
