The Loan Operations Assistant plays a critical role in supporting the Bank's lending operations by ensuring the accurate processing, maintenance, servicing, and reporting of consumer and commercial loans. This position works closely with lenders, credit personnel, loan assistants, and customers to maintain loan integrity, regulatory compliance, and operational efficiency throughout the loan lifecycle.
The ideal candidate is detail-oriented, highly organized, and interested in building a career in banking, loan operations, financial services, or commercial lending. This role offers exposure to loan servicing, loan documentation, compliance, escrow administration, collateral management, and banking operations.
Essential Duties and Responsibilities
Loan Operations & Servicing
- Process and maintain consumer and commercial loan records throughout the loan lifecycle.
- Perform new loan boarding, renewals, extensions, modifications, and maintenance functions.
- Process loan payoffs, participations, non-post transactions, and loan-related adjustments.
- Verify loan accuracy through quality control reviews and account balancing procedures.
- Review loan transactions to ensure compliance with internal policies and regulatory requirements.
- Research and resolve loan servicing issues in a timely and accurate manner.
Documentation & Compliance
- Maintain accurate electronic loan files and supporting documentation.
- Scan, index, image, and organize loan documents within the Bank's document management system.
- Support Customer Identification Program (CIP) requirements and related documentation reviews.
- Process adverse action notices, denials, and early disclosure requirements in accordance with applicable regulations.
- Monitor documentation exceptions and assist with exception resolution.
- Support internal and external audits, examinations, and loan review activities.
Escrow, Insurance & Collateral Administration
- Monitor and maintain escrow accounts for taxes and insurance.
- Track insurance coverage, property tax payments, and collateral documentation.
- Process credit life insurance administration and related reporting.
- Assist in maintaining lien perfection and collateral records.
- Review collateral documentation to ensure completeness and accuracy.
Credit Reporting & Reconciliation
- Support credit bureau reporting activities and customer dispute resolution processes.
- Assist with general ledger balancing and daily operational reconciliations.
- Perform daily quality control reviews to ensure operational accuracy.
- Generate and maintain reports related to loan servicing and portfolio management.
Customer & Internal Support
- Serve as a resource for customers and employees regarding loan account information and servicing inquiries.
- Provide professional, timely, and accurate customer service in person, by phone, and through electronic communication.
- Quote loan payoff information and assist with customer requests related to existing loan accounts.
- Support lenders, loan assistants, credit administration staff, and other departments with operational requests.
- Build strong working relationships through responsive communication and teamwork.
Relationship Building & Cross-Selling
- Develop a strong understanding of the Bank's products and services.
- Identify opportunities to refer customers to appropriate banking solutions.
- Contribute to the Bank's commitment to exceptional customer service and relationship banking.
General Responsibilities

QualificationsPreferred Qualifications
Education
- Associate's or Bachelor's degree in Finance, Accounting, Business Administration, Economics, Banking, or a related field.
Experience
- Previous experience in banking, loan operations, loan servicing, finance, accounting, or financial services.
- Experience working with loan documentation or regulatory compliance is a plus.
Knowledge, Skills & Abilities
