Loan Administrator

SmartBank is seeking a detail-oriented and customer-focused Loan Administrator to support lenders throughout the loan lifecycle, from application and approval through closing and post-closing activities. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships with clients, and takes pride in ensuring loan documentation and compliance requirements are completed accurately and efficiently. As a Loan Administrator, you'll play a key role in delivering exceptional client service while supporting the growth of our lending portfolio and maintaining the highest standards of regulatory compliance.

Major Duties and Responsibilities

Client & Lending Support Partner with lenders to coordinate all aspects of the loan process. Meet with clients to gather information, discuss banking needs, and assist with loan applications. Identify opportunities to introduce clients to additional SmartBank products and services. Obtain and verify customer information, including CIP, OFAC, Red Flag, and other regulatory requirements. Assist with daily client communication, including loan inquiries, NSF follow-ups, and letters of credit renewals.

Loan Processing & Closing Prepare loan approval documentation and assist with loan committee packages. Gather and review supporting documentation, including: Credit reports Flood determinations Title opinions and title policies Insurance documentation Coordinate appraisals and communicate with internal teams and third-party vendors. Review loan documentation prepared internally or by legal counsel. Schedule, coordinate, and attend loan closings as needed. Manage loan disbursements and finalize loan packages for booking.

Portfolio Management & Compliance Administer a loan portfolio. Monitor and track outstanding documentation, exceptions, and post-closing requirements. Obtain updated financial information and insurance documentation for existing loans. Support HMDA reporting requirements and ensure data accuracy. Assist with participation loans by coordinating agreements, documentation, and funding activities. Prepare files for denied, withdrawn, or incomplete loan applications and coordinate adverse action processing. Ensure adherence to SmartBank policies and all applicable banking regulations, including the Bank Secrecy Act (BSA).

Administrative & Team Support Answer, screen, and direct calls for assigned lenders. Assist with expense reporting, pipeline management, and sales reporting. Participate in community outreach and relationship-building events throughout the year. Perform additional duties as assigned.

Education

High School Diploma or equivalent required.

Experience & Skills

Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and commitment to accuracy. Excellent verbal and written communication skills. Proficiency with Microsoft Office applications, including Word, Excel, and Outlook. Ability to work independently while collaborating effectively within a team. Knowledge of lending operations, loan documentation, and banking regulations is preferred. High degree of professionalism, integrity, and discretion when handling confidential information. Flexibility and adaptability in a changing environment. Consistent and reliable attendance.

Physical Requirements

Ability to sit, stand, bend, and stoop regularly throughout the workday. Frequent use of hands, wrists, and fingers for computer and office-related tasks. Visual acuity sufficient to review documents and operate office equipment. Ability to communicate effectively in person and by telephone. Occasional travel may be required for training, meetings, or business-related events.
