Cozen O’Connor in Chicago seeks a Legal Practice Assistant with strong Litigation and Executive Support experience to assist our Emerging Data Privacy Trends Team. The role supports the Chair and Vice Chair in Chicago, with collaboration across California, DC, New York, Miami, and Philadelphia.

The ideal candidate is a team player and self-starter who can multitask under tight deadlines, maintain meticulous attention to detail, and interact professionally with clients and colleagues.

Qualifications

• Must have at least 5–7 years legal and/or executive secretarial experience.
• Extensive software skills: iManage/DeskSite/WorkSite, Word, PowerPoint, Excel, InTapp, Big Hand, Docket Enterprise, DTE, ChromeRiver.
• Experience with court electronic filings (federal and state) in IL, CA, NY, FL, PA.
• Advanced proficiency in Outlook, Teams, Excel and Word; proficient with Styles, Redlining, Adobe Pro and PDF Docs4.
• Typing 60+ wpm.
• Detail-oriented with strong organizational skills; multitask and problem-solve.
• Excellent written and verbal communications; interact with clients, attorneys, staff.
• Must be in office at least 3 days per week.
• High School Diploma or equivalent.

Responsibilities

• Type, transcribe and revise communications and legal documents for court filings.
• Prepare and submit electronic filings in federal and state courts.
• Proofread all work for typos and grammar.
• Provide litigation support and coordinate court reporters, transcripts, and exhibit prep.
• Maintain attorneys’ calendars and coordinate meetings and travel.
• Open, organize and maintain client and office files.
• Use the Firm's docketing program for scheduling and dates.
• Track and submit expense reimbursements and vendor invoices.
• Assist with closing files per department protocol.
• Coordinate details for client/guest meetings and meals.
• Reserve conference rooms and confirm videoconferencing needs.
