Job summary

Baker Donelson in Houston, TX is seeking a Legal Support Coordinator to provide essential secretarial support to attorneys, manage calendars, draft and file legal documents, and maintain client files.

This non-exempt role requires strong transcription (65 wpm+), excellent organization, confidentiality, and the ability to coordinate communications with clients and staff; some travel and overtime may be required.

Qualifications

  • College degree preferred but not required.
  • Ability to transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription at least 65 wpm.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary to communicate by phone and in person with a diverse group of clients, attorneys and staff and provide information with courtesy and tact.
  • Work occasionally requires more than 40 hours per week to perform the essential duties; may require irregular hours.

Responsibilities

  • Operates a computer and general office equipment, digital and transcription equipment.
  • Prepares correspondence, memoranda, and other legal documents.
  • Receives telephone calls and records messages as directed.
  • Handles incoming mail; prepares outgoing mail or packages for shipment; follows up on timely delivery.
  • Establishes and maintains electronic calendar and deadline reminder system for attorneys.
  • Monitors attorney's incoming e-mails.
  • Maintains client contacts and mailing lists.
  • Opens new files, requests conflict of interest checks, and maintains all client and general files.
  • Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
  • Schedules appointments, multi-party conference calls, conference rooms, and travel arrangements for attorneys.
  • Completes expense reimbursement forms for attorneys.
  • Proofs, processes and prepares client bills for mailing.
  • Assists with time entry as requested.
  • Performs other duties as requested by the Office Administrator.
  • Physical presence in the office is an essential duty of this position.

SUMMARY

Under general supervision and according to Firm policies and procedures, performs a variety of secretarial duties for attorneys to whom assigned. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.

Essential Duties And Responsibilities

Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Operates a computer and other general office equipment, digital and transcription equipment.
  • Prepares correspondence, memoranda, and other legal documents.
  • Receives telephone calls and records messages as directed.
  • Handles incoming mail as directed by attorneys. Prepares outgoing mail or packages for shipment. If necessary, routes mail to specific delivery service and follows up on timely delivery.
  • Establishes and maintains electronic calendar and deadline reminder system for attorneys.
  • Monitor attorney's incoming e-mails.
  • Maintain client contacts and mailing lists.
  • Opens new files, requests conflict of interest checks, and maintains all client and general files. Conducts periodic review for possible storage of older files; prepares files to be closed.
  • Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
  • Schedules appointments, multi-party conference calls, conference rooms, and travel arrangements for attorneys.
  • Completes expense reimbursement forms for attorneys.
  • Proofs, processes and prepares client bills for mailing.
  • Assists with time entry as requested.
  • Performs other duties as requested by the Office Administrator.

Knowledge, Skills, And Abilities Required
  • College degree preferred but not required.

  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
Education And Work Experience

Approximately one to two years on-the-job experience necessary in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision.

WORKING CONDITIONS

Normal office environment with little exposure to excessive noise, dust, extreme temperatures and the like. Travel and work outside of office is required.
