Job summary

Holland & Hart is seeking an experienced Litigation Docketing Paralegal to manage deadlines across federal, state, and local courts. This role supports multiple jurisdictions, ensuring accuracy and timeliness per firm policies.

The position is primarily remote with some in-office requirements; candidates should reside within Holland & Hart's footprint and bring extensive docketing software know-how and paralegal credentials for a high-complexity workload.

Qualifications

  • Paralegal Certificate or paralegal degree required.
  • Five (5) + years of litigation-specific docketing experience and litigation paralegal experience required.
  • Five (5) + years of experience utilizing Court Alert, CompuLaw, or similar docketing software preferred.
  • Expert knowledge of the litigation process, court rules, and procedures; navigates court websites and applies rules to docketing.

Responsibilities

  • Independently docket designated group(s) including offices, practice groups, and jurisdictions.
  • Review filed documents and docketing requests for accuracy; guide team members on rule changes.
  • Lead and assist with incoming court filings; respond to inquiries on deadlines and procedures.

Job description

General Purpose:

The Litigation Docketing Paralegal specializes in managing and maintaining legal deadlines and litigation docketing support for the firm. This position requires an in-depth understanding of federal, state, and local rules as well as practices and procedures for multiple states, districts, and practice areas. This role is responsible for monitoring assigned shared intake mailboxes and related docket requests and docketing same in a timely manner according to firm guidelines and procedures. This position does not have a billable hour’s expectancy.

Essential Duties/Responsibilities:
  • Independently dockets for designated assigned group(s), which may consist of specific offices, practice groups, and/or jurisdictions.
  • Thoroughly reviews filed documents and written docketing requests to ensure all deadlines are identified and docketed. This includes quality review of other team member's assigned work and providing feedback to ensure accuracy. Guides team members to learn and apply changing rules.
  • Researches statutory, agency, court, and individual judges’ rules and practices and applies them appropriately.
  • Verifies accuracy of docketed items and deadlines generated by the docketing software.
  • Communicates regularly with case teams to gather additional information necessary to accurately maintain case docketing.
  • Lead and assist with incoming requested court filings.
  • Responds professionally and promptly to all questions and requests from case teams regarding calculation of deadlines, court and agency rules and procedures, and firm docketing guidelines.
  • Maintains a working knowledge of updates and developments in the rules and procedures within the designated docketing assigned group.
  • Assists with team review and training by providing feedback and updates as needed.
  • Responsible for leading multiple high-complexity projects assigned by the Docketing Manager.
  • Maintains and helps enforce Litigation Docketing Team protocols.
  • Assists the Docketing Manager with other duties as needed, including advanced reporting, complex docketing procedures, and assigning work to other team members.
  • Performs additional duties and tasks assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.

Supervisory Duties:

This position has no direct supervisory responsibilities but will serve as a coach and mentor for other positions in the department. They may assist the supervisor/manager with scheduling, coordinating tasks, and managing workflows, ensuring smooth team operations without direct managerial duties.

Job Qualifications (Education, Experience and Certification):
  • Paralegal Certificate or paralegal degree required.
  • Five (5) + years of litigation-specific docketing experience and litigation paralegal experience required.
  • Five (5) + years of experience utilizing Court Alert, CompuLaw, or similar docketing software preferred.
  • Expert knowledge and understanding of the litigation process, court rules, and procedures. Navigates court websites and independently searches to adhere to court rules and apply to docketing.
  • Strong, demonstrable knowledge with the federal and state court systems, as well as arbitration, mediation, and administrative government agencies.
  • Proven aptitude to learn new software applications.
  • Proven ability to learn and retain new information quickly.
  • Familiarity with PACER and other electronic case filing systems.
  • Ability to consistently deliver superior docketing services by completing docketing requests efficiently, accurately, and timely.
  • Strong critical thinking skills to process complex orders and analyze effects on other case deadlines.
  • Excellent organizational, time management, and prioritization skills.
  • A highly proactive, solution-oriented approach to work and team interaction.
  • Proven ability to learn and retain new information quickly.
  • Ability to work collaboratively within a team and to adapt to changing business demands.
  • Professional integrity required and ability to maintain confidentiality and build trust with case teams.
  • Proficiency in Microsoft Office (Word, Outlook, Excel).
Physical Requirements:

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person. May require occasional travel.

Compensation:

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. A discretionary bonus may be available based upon performance. The Colorado & Nevada salary range is $35.58 to $59.30 per hour. The Washington DC salary range is $39.14 to $65.23 per hour. A discretionary bonus may be available based upon performance.
