Job summary

Auto Club Enterprises is seeking a Litigation Assistant to provide administrative and secretarial support to attorneys. The role focuses on legal document preparation, review, and processing, with knowledge of legal terminology and procedures.

You will manage attorney calendars, prepare documents per court rules, input data into case management systems, and maintain files to meet statutory requirements. Travel is occasional.

Qualifications

  • 4–6 years of secretarial and/or legal experience.
  • Typing speed 55–60 wpm preferred.
  • Clear written and verbal communication skills.
  • Proficient in Word and Outlook; attorney-ready formatting.

Responsibilities

  • Prepare legal documents per court rules (summons, complaints, motions, notices, forms, pleadings).
  • Create and proofread legal documents, reports, and letters.
  • Enter data into case management systems and maintain records.
  • Schedule and confirm attorney calendars and court appearances; resolve conflicts.
  • File documents in compliance with firm standards and maintain diary system.
  • Prepare reports and payment drafts.

Litigation Assistant

This position performs administrative or secretarial support for a single or multiple attorneys utilizing knowledge of legal terminology and procedures. The work involves highly complex and varied secretarial duties and has primary responsibility for legal document preparation, review and processing.

Job Duties
  • Prepare, in compliance with court rules, legal documents relating to legal matters. Documents may include but are not limited to: summons, complaints, motions, notices, court forms, pleadings, and legal opinions.
  • Create and proofread legal documents, reports, and letters utilizing legal software applications and by following marginal notes and attorney instructions.
  • Input into case management system all data contained in the legal file such as correspondence, notices, legal documents, billing, and expenditures.
  • Make necessary corrections, update information, and respond to inquiries.
  • Manage attorney calendar(s) by scheduling and confirming appointments and court appearances. Resolve calendar conflicts when necessary.
  • File correspondence and legal documents in compliance with law office standards.
  • Maintain and monitor a comprehensive diary system for litigated files to insure compliance with statutory requirements.
  • Process all mail in compliance with law firm standards.
  • Maintain technical files and records including comprehensive and detailed documentation.
  • Prepare reports and payment drafts.
Travel Requirements

Travel Requirements Occasional travel to off-site business meetings or conferences. (5% proficiency) #LI-LG1

Salary

The starting pay range for this position is: $28.93 - $38.53 Additionally, for full time positions, you will be eligible to participate in our incentive program based upon the achievement of organization, team and personal performance.

Qualifications
  • High School GED Required
  • 4-6 years Secretarial and/or legal experience required using accepted legal support and office organization practices.
  • Required Minimum typing speed of 55 - 60 corrected words per minute preferred.
  • Ability to express ideas clearly, effectively, and persuasively required - both orally and in writing.
  • Proficiency in Microsoft Word and Outlook and ability to use provided computer technology to enhance the quality of work and programs highly desired.
  • Ability to compose, prepare, proofread, and type correspondence required.
  • Knowledge of legal terminology and court procedures helpful.
  • Behavior competencies related to results orientation, customer service, continuous improvement, teamwork and collaboration, and value of diversity highly desirable.
