Legal Secretary/Executive Assistant — Trusts & Estates

Our firm is seeking an experienced Trusts & Estates Legal Secretary / Executive Assistant to provide dedicated support to the department lead of our Trusts & Estates practice. This role requires a highly organized, self‑directed professional with exceptional client communication skills and the ability to thrive in a fast‑paced, deadline‑driven, and occasionally high‑stress environment. The ideal candidate will anticipate attorney and client needs and manage competing priorities.

Key Responsibilities
  • Build and maintain strong client relationships in person and by phone with professionalism and discretion.
  • Manage attorney calendar, schedule meetings, coordinate appointments, and maintain accurate contact information.
  • Prepare attorney for meetings by organizing files, assembling documents, and delivering all relevant materials and information in advance.
  • Track critical deadlines, key dates, and matter timelines to ensure nothing is missed.
  • Open, organize, maintain, and close client files in compliance with firm standards.
  • Maintain orderly and up‑to‑date client records and databases.
  • Manage priorities proactively to ensure deadlines are never missed.
  • Answer client inquiries promptly and professionally.
Required Qualifications
  • Minimum of 5 years of administrative or executive support experience (legal administrative experience strongly preferred).
  • Minimum of 5 years supporting a senior professional in a document‑intensive, client‑facing environment.
  • Proven ability to perform in a high‑paced and occasionally stressful work setting.
  • Advanced proficiency in Microsoft Office Suite.
  • Exceptional time management and multitasking skills, with a demonstrated record of meeting firm deadlines.
