The Phoenix Group is seeking a detail-oriented Recruiting Coordinator to support attorney recruiting, onboarding, and integration initiatives in a fast-paced professional services environment. You will work closely with senior leadership to ensure a professional and timely candidate experience.

The role requires strong organizational, communication, and discretion skills and the ability to manage multiple priorities while maintaining confidentiality.

Qualifications

  • Bachelor’s degree or equivalent professional experience preferred.
  • Experience supporting senior executives or professional services is highly desirable.
  • Strong organizational, time-management, and communication skills.

Responsibilities

  • Provide day-to-day administrative support to the Chief of Recruiting & Integration and committee co-chair.
  • Coordinate candidate interviews, meetings, and other recruiting activities with attorneys and leadership.
  • Manage interview logistics, calendars, rooms, and virtual meeting links.
  • Track interview feedback and maintain accurate candidate records.
  • Support onboarding and integration initiatives for new attorneys.

Job description

The Recruiting Coordinator will provide administrative and operational support for the law firm’s attorney recruiting, onboarding, and integration initiatives. Working closely with the Chief of Recruiting & Integration and the Co-Chair of the Recruiting & Integration Committee, this position will help coordinate recruiting activities, maintain accurate candidate records, and ensure a professional and seamless experience for candidates and newly hired attorneys.

The ideal candidate is highly organized, detail-oriented, responsive, and professional, with the ability to work effectively with attorneys, firm leadership, candidates, and internal stakeholders. The role requires strong communication skills, discretion, sound judgment, excellent follow-through, and the ability to manage multiple priorities in a fast-paced professional services environment.

Responsibilities
  • Provide day-to-day administrative and operational support to the Chief of Recruiting & Integration and Co-Chair of the Recruiting & Integration Committee.
  • Coordinate candidate interviews, meetings, calls, and other recruiting activities with attorneys, partners, and firm leadership.
  • Manage interview logistics, including calendars, meeting rooms, virtual meeting links, agendas, materials, and other arrangements.
  • Collect, organize, and track interview feedback from attorneys and other interviewers, following up as needed to ensure timely completion.
  • Communicate directly with candidates to collect required information and documentation throughout the recruiting process.
  • Maintain accurate candidate files, recruiting databases, tracking reports, and other confidential records.
  • Prepare recruiting correspondence, reports, presentations, meeting materials, and other administrative documents.
  • Coordinate recruiting meetings, including agenda preparation and follow-up on action items.
  • Monitor recruiting timelines, deadlines, and outstanding tasks to ensure recruiting processes remain on track.
  • Provide administrative support for attorney onboarding and integration initiatives.
  • Assist with coordinating new attorney arrivals, introductions, meetings, orientation sessions, and other integration activities.
  • Track onboarding tasks and follow up with internal stakeholders to ensure timely completion.
  • Assist with developing and maintaining onboarding resources, materials, and processes.
  • Support Recruiting & Integration leadership with calendar management, meeting preparation, action-item tracking, reporting, and follow-up.
  • Maintain confidential recruiting and personnel information with a high degree of discretion.
  • Assist with special projects and other initiatives related to attorney recruiting, onboarding, and integration.
Qualifications
  • Bachelor’s degree or equivalent professional experience preferred.
  • 2+ years of experience in recruiting coordination, professional services, legal, human resources, executive administration, or a related field.
  • Experience supporting senior executives, attorneys, partners, committees, or other senior-level professionals is highly desirable.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to interact professionally and confidently with candidates, attorneys, partners, firm leadership, and employees at all levels.
  • Strong calendar management and scheduling skills.
  • Ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment.
  • Proficiency with Microsoft Office, Outlook, Teams, and other standard business applications.
  • Ability to handle confidential and sensitive information with discretion and sound judgment.
  • Strong follow-through, problem-solving, and organizational skills.
  • Service-oriented approach with a high level of professionalism and responsiveness.
  • Ability to work collaboratively with multiple stakeholders and teams.
  • Adaptability and flexibility when priorities or recruiting needs change.
