POSITION SUMMARY

The Legal Operations & Contracts Manager supports Barton Malow’s Legal department by performing first-pass review and negotiation of routine subcontracts, purchase orders, and related agreements within established playbooks, escalating exceptions to counsel. This role owns the Legal intake and triage queue and serves as the business owner of the department’s legal technology, including Ironclad, Monday.com, and Legal Tracker. By building workflows, automations, and AI-assisted tools, the position removes mechanical work from attorneys and keeps contract and matter records accurate and accessible. The role also delivers dashboards, training, and process improvements that help teams manage risk and work more efficiently.

KEY JOB RESPONSIBILITIES*:
Contracts
  • Perform first-pass review of subcontract addenda and subcontractor redlines against Barton Malow’s standard forms, negotiating playbook, and owner flow-down requirements; resolve routine deviations within approved positions and escalated exceptions to counsel
  • Draft, review, and negotiate routine agreements within established playbooks, including subcontract and purchase order addenda, vendor terms and conditions, amendments, project closeout documents, and lien waivers
  • Partner with counsel to maintain and improve contract playbooks, standard forms, templates, and clause guidance
  • Coordinate contract execution and make sure executed agreements are accurately stored, indexed, and accessible to the right internal stakeholders
  • Track key contract dates and obligations, including notice provisions, renewals, and expirations
  • Partner with Risk Management on insurance policy and endorsement negotiations
  • Provide backup coverage for NDAs and signature routing
Legal Operations + Intake
  • Own the Legal intake and triage queue: assess request type, urgency, and business impact; route requests to the right counsel under the department’s routing model; and keep matter records complete and current
  • Design and continuously improve workflows, templates, permissions, and reporting in Ironclad (contract lifecycle management) and Monday.com (matter tracking), in partnership with the attorney who leads Ironclad
  • Serve as the business owner of Legal Tracker, including matter setup, outside counsel invoice and budget workflows, user support, data quality, and reporting
  • Build and maintain automations and AI-assisted tools, such as subcontract pre-review, that remove mechanical work from attorneys, with clear human review and quality checks
  • Design and maintain tracking tools that support the claims and litigation team, such as litigation hold notices and deadline reminders
  • Prepare dashboards and reports on workload, cycle times, and matter status for the Vice President of Legal, and support data inputs for enterprise risk reporting
  • Run monthly data-quality reviews of Legal’s matter and contract records so reporting stays accurate
  • Train and guide project teams and Procurement on contract processes, forms, and system use; develop job aids and standard work instructions
  • Support the evaluation, selection, implementation, and adoption of legal technology, including vendor demos, requirements gathering, stakeholder feedback, and change management
  • Partner with the Vice President of Legal to identify and implement process improvements across the department
  • Perform other duties and special projects as assigned by the Vice President of Legal
Qualifications
  • Bachelor’s degree preferred, or an equivalent combination of education and experience
  • At least five years of relevant experience in contracts administration or management, legal operations, or a similar role in a corporate legal department, law firm, construction or engineering company, or procurement function
  • Demonstrated experience reviewing and negotiating commercial or construction agreements against standard forms and playbooks, with sound judgment about when to escalated
  • Hands‑on experience administering or materially supporting a contract lifecycle management system, matter management platform, or similar legal technology
  • Ability to translate legal and business needs into practical workflows, system requirements, templates, and reports
  • Strong Excel and reporting skills
  • Excellent organization, written and verbal communication, and attention to detail, with the ability to manage multiple deadlines, stakeholders, and confidential matters
Preferred
  • Construction industry experience, including subcontracts, AIA or ConsensusDocs forms, flow‑down provisions, and lien waivers
  • Experience with Ironclad, Legal Tracker, and Monday.com or comparable tools
  • Experience building automations or using AI tools in contract or legal workflows
  • Familiarity with contracting across U.S. and Canadian entities
