Job summary

Freeman Mathis & Gary, LLP is seeking a Legal Intake Manager for its Atlanta office to lead the Intake Team, ensure accurate client and matter data, and support efficient new file openings. The role requires sharp attention to detail, effective communication, and the ability to train staff on procedures and billing practices.

The ideal candidate will be tech-savvy, with experience using SAP-based systems and legal intake processes, and will work 9am–6pm in a fast-paced environment.

Qualifications

• Bachelor’s Degree Required - Degree in Data Management and research focused degree programs are preferred, Business Administration Degrees considered
• Experience with data management and legal processes is preferred
• Proficiency in Microsoft Office (Word, Excel, Teams) required

Responsibilities

• Work within Upfront and the SAP billing system to ensure matters are opened properly
• Supplement and maintain Intake Source Document (OneNote) related to workflow procedures
• Train new Legal Intake Specialists and update training as needed
• Assist in implementation of uniform rate update procedures for client billing rates
• Oversee and provide guidance for Intake Team and escalate to Assistant General Counsel as needed
• Participate in the new billing software integration
• Communicate efficiently with Legal Assistants and Attorneys regarding issues in matter opening
• Identify and implement process improvements to shorten cycle and improve data integrity
• Inputs new client information and assign matter numbers to start billing
• Cross reference insurance carrier guidelines and attorney correspondence to ensure correct rates
• Clearly communicate pertinent details of a client matter on request
• Close requested matters and monitor supplemental party requests
• Build relationships across departments to ensure proper outcomes
• Assist with special projects and additional duties as assigned
