Executive Legal Assistant - Investment Firm
Location : New York, NY
A leading publicly traded real estate investment trust (REIT) is seeking a highly organized and detail-oriented Executive Assistant to support its Legal team. This role plays a key part in supporting board governance, legal operations, and department administration, and is ideal for someone experienced in working with senior executives and handling sensitive corporate matters.

- Corporate Legal EA experience
- Board portal software
- Interfaced with board of directors
Key Responsibilities
- Coordinate the logistics of board and committee meetings for two public entities, including scheduling, agenda preparation, and board portal administration.
- Serve as a liaison to board members and their assistants; manage the preparation and distribution of board materials, annual evaluations, surveys, and D&O questionnaires.
- Assist in preparing and finalizing meeting minutes and ensure accurate recordkeeping of corporate documents.
- Support the legal department in document execution (including originals and DocuSign) and assist with general legal administrative processes.
- Process departmental invoices, track expenses, and assist in budgeting and accruals.
- Manage calendars, coordinate meetings and travel arrangements, and maintain organized department files and subscriptions.
- Ensure smooth day-to-day administrative operations and support cross-functional collaboration with a proactive, team-oriented approach.
Qualifications
- 5–7+ years of executive support experience, preferably within legal, corporate governance, or financial services environments.
- Proven ability to handle confidential information with discretion and professionalism.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with board portal software, DocuSign, and AP platforms (e.g., Basware) is a plus.
- Excellent written and verbal communication, time management, and multitasking abilities.
- Highly organized, resourceful, and capable of working independently while contributing to a collaborative team culture.
