  • Strong written and verbal communication; calendar management for depositions, mediations, and hearings.

Responsibilities

  • Conduct client intake interviews and open new matters; create and maintain case files.
  • Manage administrative duties including scheduling hearings, mediations, depositions, and deadlines; manage ICMS and Litify case logistics.
  • Prepare, serve, and track ICMS filings and maintain pleadings and discovery indexes.
  • Request, pay for, and track medical records and bills; build medical chronologies and logs.
  • Track indemnity payments, wage documents, and medical treatment details; note late payments.
  • Provide comprehensive client communication including appointment notifications and status updates.
  • Draft and proofread correspondence and legal documents; organize exhibits and evidence.
  • Collect, examine, and organize evidence for attorney review; research applicable laws and regulations.
  • Manage client billing and resolve billing issues with billing attorney.
  • Coordinate with clients and witnesses for meetings and depositions.
  • Improve administrative processes for efficient workflow; maintain filing systems.

Job description

Summary

We are seeking a qualified Legal Assistant to join our workers' compensation law firm. As a Legal Assistant, you will be responsible for supporting our legal team in representing injured workers through all phases of their workers' compensation claims, from intake through resolution. This position requires exceptional organizational skills, meticulous attention to detail, and a strong commitment to client service. The ideal candidate has a strong work ethic, exceptional problem-solving skills, and is comfortable working in a fast-paced dynamic workplace.

Responsibilities
  • Conduct client intake interviews and open new matters; create and maintain electronic and physical case files, including verifying employer, carrier/TPA, and adjuster information
  • Manage administrative duties including scheduling calendar hearings, mediations, depositions, and deadlines; manage case logistics and parties/contacts in ICMS and Litify
  • Prepare, serve, and track ICMS filings (207 forms, COA, 108A, 108B, 102C); maintain pleadings and discovery indexes
  • Request, pay for, and track medical records and bills; build and maintain medical chronologies, work status notes, and detailed logs
  • Track indemnity payments, authorizations, wage documents (AWW and TTD rates), and medical treatment details; note late or missing payments and prepare mileage requests
  • Provide comprehensive client communication including appointment notifications, status updates, informational materials, and coordination of medical treatment approvals; manage client calls and emails promptly
  • Draft and proofread correspondence and legal documents; organize exhibits, documents, evidence, briefs, and appendices
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation; research regulations, laws, and legal articles as needed
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney
  • Communicate with clients and witnesses to schedule meetings, interviews, and depositions
  • Implement and improve upon administrative processes for more efficient workflow; manage and maintain documents in paper or electronic filing systems
  • Comply with confidentiality, HIPAA, and workers' compensation procedures; follow firm standard operating procedures; perform other related duties as assigned
Qualifications
  • High school diploma or general education degree (GED) required
  • Associate's degree in paralegal studies, a paralegal certificate, or a bachelor's degree is preferred
  • Bilingual English and Spanish (preferred)
  • At least 2 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal
  • Experience in workers' compensation, personal injury, premises, or other injury-related practice areas (preferred)
  • Proficient with MS Office/Excel, Outlook, and PDF tools
  • Must possess the ability to multi-task, prioritize, handle a fast-paced environment, and manage workload with a great attitude and minimal supervision
  • Great written and communication skills; be proficient in calendaring depositions, mediation, and hearings
  • Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules and procedures, practices, etc.
  • Highly organized with the ability to juggle multiple deadlines in a fast-paced environment
  • Strong writing and communication skills along with attention to detail
  • Extensive computer and database expertise; type no less than 35 wpm
  • Excellent time management skills
