We are looking for a meticulous and seasoned Legal Assistant or Paralegal to join our Newnan, GA law firm. The ideal professional will possess a strong background in litigation support, exceptional organizational capabilities, and the capacity to independently handle a diverse workload. You will collaborate closely with our legal team on case development, client interactions, court submissions, and daily administrative functions.
Core Responsibilities
- Support attorneys throughout the medical malpractice litigation lifecycle, from initial intake through discovery and trial preparation.
- Collect and categorize essential client documentation, including medical records and insurance details.
- Ensure clients remain informed by providing consistent updates regarding their case status and upcoming requirements.
- Help maintain a well-organized litigation calendar to ensure all case files and critical deadlines are tracked accurately.
- Synthesize complex medical reports, depositions, and expert findings into clear, actionable summaries.
- Draft essential legal filings, including motions, subpoenas, and discovery requests, to help move cases forward efficiently.
- Coordinate with expert witnesses and oversee the production of case-related documents.
Legal Document Preparation & Filing
- Draft, review, and finalize various legal instruments such as pleadings, motions, and demand letters.
- Manage subrogation claims and maintain professional correspondence with third-party payors and insurance providers.
- Create comprehensive medical chronologies by organizing and summarizing patient records.
- Ensure all court filings comply with state and federal regulations through electronic submission systems.
- Facilitate deposition readiness by organizing exhibits and coordinating necessary notices.
Calendar & Schedule Management
- Oversee attorney schedules, including court appearances, meetings, and filing deadlines.
- Monitor case-specific milestones, such as discovery cutoffs, statutes of limitations, and hearing dates.
- Proactively notify attorneys and clients of impending deadlines to ensure smooth case progression.
Accounting & Administrative Support
- Handle office billing and invoice processing using specialized accounting software.
- Assist in the coordination of expense tracking, timekeeping, and client billing.
- Manage all incoming and outgoing communications via courier, mail, fax, and email.
- Maintain a structured system for both physical and digital file storage.
- Execute daily administrative tasks, including scanning, photocopying, and general document management.
- Utilize Microsoft Outlook to streamline firm communications, scheduling, and email management.
- Develop and maintain Excel spreadsheets to track billing, case data, and other essential metrics.
- Digitize and organize firm documents using Adobe Acrobat and scanning hardware.
- Upload and maintain case records within the firm’s centralized document management system.
Qualifications
- Possess 2–3 years of experience as a paralegal or legal assistant, ideally within civil litigation, personal injury, or medical malpractice.
- Demonstrate a deep understanding of litigation timelines, court filing protocols, and legal procedures.
- Showcase experience managing the full lifecycle of a case, from initial client intake to final resolution.
- Maintain proficiency in Adobe Acrobat, Microsoft Excel, and Microsoft Outlook.
- Demonstrate technical competence with document scanning equipment.
- Produce high-quality, accurate legal documents through precise drafting and proofreading.
- Communicate effectively with team members and clients through strong verbal and written skills.
- Exhibit excellent time management to help the team handle multiple active cases with ease.
- Uphold the highest standards of professionalism when managing sensitive legal and medical data.
- Hold an Associate’s degree or certificate in Paralegal Studies, or a Bachelor’s degree in a relevant field.
- Apply knowledge of insurance lien resolution and subrogation processes to support case goals.
- Utilize legal accounting and billing software to maintain accurate financial records.
