Position Summary:
Lawrence Kahn Law Group, P.S. is seeking a full-time Legal Assistant to support our attorneys and provide a professional, welcoming experience for clients and visitors. This position requires strong organizational, communication, and multitasking skills to handle administrative responsibilities and legal support tasks. The ideal candidate will thrive in a fast-paced legal environment and demonstrate a high level of professionalism and discretion.
Key Responsibilities:
Client Services & Communication
Greet clients and visitors in a professional and courteous manner.
Answer phones, route calls, and schedule appointments.
Conduct initial intake for potential clients.
Prepare conference rooms with necessary supplies and refreshments.
Ensure a clean and organized reception and waiting area.
Legal Administrative Support
Assist attorneys with legal research, drafting, and reviewing legal documents.
Investigate facts to support legal cases and negotiations.
Monitor compliance with state and federal regulations.
Draft documents such as fee agreements, releases, and correspondence.
Support preparation and organization of legal records and filings.
Handle client-related expenses, check drafting, and deposits (including IOLTA trust accounts).
Record, track, and store client information in firm database.
Office Coordination & Documentation
Manage IOLTA trust account transactions with accuracy and in compliance with legal and ethical requirements, including deposits, disbursements, and client fund tracking.
Manage the firm calendar, schedule meetings, and coordinate internal events.
Handle incoming and outgoing mail, faxes, deliveries, and emails; scan and file documents appropriately.
Collaborate with attorneys and staff to ensure efficient office operations.
Liaise with clients regarding firm services and refer inquiries to the appropriate personnel.

Education:
Experience:
Prior experience as a legal assistant, paralegal, or in a legal administrative role.
Familiarity with legal terminology and legal research tools.
Skills:
Excellent written and verbal communication skills.
Strong multitasking and organizational skills with attention to detail.
Proficiency in Microsoft Office Suite and familiarity with legal software (e.g., CloudLex).
Ability to work independently and manage competing priorities.
Strong customer service and interpersonal abilities.

Working Conditions:
Office-based role with standard weekday hours.
