A leading Wisconsin law firm is conducting a confidential search for an experienced Legal Assistant to join its Madison office.
The firm is seeking a highly organized, proactive legal professional with a strong foundation of experience who can, following training and integration, provide comprehensive support to three to four attorneys in a fast-paced and collaborative office environment.
This position offers a diverse range of work supporting attorneys across Litigation, Business/Corporate, and Real Estate practices. The successful candidate will be comfortable managing competing priorities, anticipating attorney needs, and providing polished, responsive service to both attorneys and clients.
Key Responsibilities
Legal & Administrative Support
- Provide comprehensive administrative and legal support to assigned attorneys.
- Prepare, format, edit, and proofread correspondence, legal documents, pleadings, agreements, and other materials.
- Assist with filing, document production, correspondence, and other day-to-day legal administrative functions.
- Anticipate attorney needs and proactively manage administrative responsibilities.
Client Service
- Provide professional, timely, and confidential communication and support to clients.
- Serve as a professional point of contact for clients and other external parties.
- Maintain a high level of discretion and confidentiality in handling sensitive client and firm matters.
Calendar & Deadline Management
- Manage and maintain attorney calendars, appointments, meetings, depositions, hearings, and other commitments.
- Monitor deadlines and assist attorneys in meeting court, client, and firm requirements.
- Coordinate meetings and other events involving attorneys, clients, opposing counsel, and outside parties.
Document & File Management
- Maintain accurate electronic and physical files in accordance with firm procedures.
- Organize, track, and manage case and client documents to ensure information is readily accessible.
- Assist with document management and other matter-related administrative processes.
Billing & Timekeeping
- Assist with attorney time entry, expense reporting, and billing processes.
- Review billing information for accuracy and completeness and coordinate corrections as needed.
Workflow & Team Collaboration
- Effectively manage multiple priorities and deadlines in a busy legal environment.
- Work closely with attorneys, paralegals, legal assistants, and other administrative professionals to ensure consistent and efficient workflow.
- Provide coverage and assistance across practice groups as needed.
- Contribute to a positive, professional, and collaborative office environment.
- Maintain strict confidentiality regarding client, attorney, and firm information.
- Follow firm policies, procedures, and applicable legal and professional standards.
- Demonstrate a commitment to accuracy, quality, responsiveness, and exceptional client service.
Qualifications
The ideal candidate will be a dedicated, team-oriented professional with demonstrated experience supporting attorneys in a sophisticated legal environment.
Required/Preferred Qualifications:
- Three or more years of experience as a Legal Assistant or in a comparable legal support role.
- Experience supporting attorneys in a fast-paced, deadline-driven environment.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to effectively prioritize and manage multiple assignments and competing deadlines.
- Excellent written and verbal communication skills.
- Strong client-service orientation and professional demeanor.
- Demonstrated ability to work independently while contributing effectively to a team.
- Strong technical aptitude and proficiency with Microsoft Office, including Word, Outlook, and Excel.
- Experience supporting Litigation, Business/Corporate, and/or Real Estate practices strongly preferred.
- Ability to handle confidential and sensitive information with a high degree of discretion.
The anticipated salary range for this position is $62,000–$80,000 annually, commensurate with experience, qualifications, and overall fit for the role.
