  • Demonstrated experience with e-filings in both state and federal courts preferred.
  • Strong knowledge of California Rules of Court, Code of Civil Procedure, and local court rules.

Responsibilities

  • Manage attorneys’ daily schedules, including calendar management, travel, and court filings.
  • Draft, format, and proofread legal documents (letters, memoranda, briefs, pleadings, contracts).
  • File documents in state, federal, and appellate courts using e-filing systems (One Legal, PACER/ECF, Truefiling).
  • Assist with discovery including drafting discovery shells and document productions.
  • Enter attorney time entries and maintain case files (iManage).
  • Coordinate logistics for depositions, mediations, and client meetings; arrange court reporters and conferencing services.
  • Communicate with clients, court personnel, opposing counsel, vendors, and colleagues.
  • Provide administrative support, including calls and messaging; manage reimbursements and expense reports.

Summary:The Legal Assistant supports attorneys in delivering the highest level of service to internal and external clients. As acontributing team member, this role proactively balances multiple work demands, takes ownership of the quality andtimeliness of work product, and upholds strict confidentiality of client and Firm information. The ideal candidate maintains aprofessional demeanor and focus while remaining flexible to provide assistance in various critical areas throughout the Firm.This is hybrid role with the expectation of regular in-office presence and additional onsite flexibility as required based onbusiness priorities.

Responsibilities:

  • Manage attorneys’ daily schedules, including but not limited to calendar management, travel arrangements, scheduling teleconferences and depositions, monitoring and registering for court appearance hearings, and pleadings/discovery deadlines and requirements, with knowledge of California rules of court and local rules.
  • Draft, format, and proofread legal documents, including letters, memoranda, briefs, pleadings, discovery, agreements, contracts, and other legal materials.
  • File documents in California state, federal and appellate courts using e-filing systems (e.g., One Legal,PACER/ECF, Truefiling), ensuring compliance with filing deadlines and requirements.
  • Assist with discovery processes including drafting discovery shells and transmitting document productions.
  • Enter attorney time entries (e.g., Intapp).
  • Maintain, organize, and update physical and electronic case files on a consistent basis (e.g., iManage).
  • Prepare trial and arbitration materials, including binders, exhibits, witness files, and other supporting documents.
  • Coordinate logistics for depositions, mediations, arbitrations, hearings, and client meetings, including scheduling court reporters, videographers, and in-person/virtual conferencing services.
  • Communicate, both orally and in writing, with clients, court personnel, opposing counsel, vendors and internal colleagues.
  • Provide administrative support, including answering and directing calls, taking accurate messages, and maintaining a high level of professionalism.
  • Process expense reports, reimbursements, and check requests in a timely and accurate manner (e.g., Emburse).
Qualifications

Education Required:

  • BA/BS degree preferred.

Experience Required:

  • Minimum 5+ years of experience as a Legal Assistant or paralegal.
  • Demonstrated experience with e-filings in both state and federal courts preferred.
  • Strong knowledge of California Rules of Court, Code of Civil Procedure, and local court rules.

Skills Required:

  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), including complex calendar management.
  • Strong technical aptitude, including experience with document management systems, attorney time entry software, and online research tools.
  • Exceptional organizational skills and attention to detail.
  • Strong time management skills with the ability to prioritize and manage multiple tasks across multiple attorneys.
  • Ability to work effectively under tight deadlines while maintaining accuracy, professionalism, and composure.
  • Demonstrated ability to collaborate across functional areas to meet deadlines and resolve issues.
  • Strong interpersonal and communication skills, with the ability to interact professionally with internal and external clients.
  • Proactive, team-oriented approach with the ability to anticipate needs and provide support where needed.
  • Flexibility to work occasional overtime to meet urgent client and business needs.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

The salary range for this position is $95,000 - $105,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. In addition to the base salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
